  • Vacancy ID A central Oxford University department is currently seeking a temporary Card Office Assistant with excellent attention to detail and data entry experience. Hours of work are 36.5 per week, usually between 8.00am and 5.00 pm; although some flexibility in start and finish times may be acceptable. The hourly pay rate will be £12.12 p/h.
  • Duties include:
  • Edit and add records to the University Card Database using image capture equipment
  • To check the source and veracity of data received from around the University in various forms including electronic
  • To liaise with Department and College administrators about card issue' and replacement. Deal with those enquiries and problems wherever possible
  • To print, check and send cards for staff, students and visitors to Departments, Institutions and Colleges around the University
  • Deal with enquiries from individuals and advising them about their eligibility for the University Card and the procedure for acquiring a card. Explaining the privileges various types of University Cards carry
  • Handling lost and retiree card payments, including the administration of payments using the University's online payment service
  • Converting student applicant records to oncourse student records using SITS (Strategic Information Technology Services); processing student contracts; checking student details and end dates
  • Ensure general maintenance of the Central files and records, including filing
  • Administering the annual and daily 'bring back' diary system, including creating new files as required
  • To ensure that files are managed in accordance to the sections retention procedures, including the review of all files where no activity has taken place within an agreed retention period and liaise with the owner to determine whether a file should be archived or destroyed either entirely or in part
  • Person specification
  • To be IT literate and proficient in the use of all MS Offices programs
  • To be trained in the use of Datacard card database
  • To be trained in the use of various student systems SITS, E-Vision, etc
  • To be familiar with specific data and information management regulations such as the data protection (GDPR) and freedom of information acts
  • A high level of general education, preferably to 'A' level or equivalent, or substantial equivalent experience
  • The person appointed must enjoy the dynamics of working with a small team and be able to build effective working relationships with colleagues and customers
  • Willingness to develop and maintain knowledge in specialist areas is key to performing well in this position
