We have 2 full-time posts available. This role requires cross-site working over Peterborough and Hinchingbrooke.

To act as Executive Assistant to Executive Directors, their deputies and other senior managers as assigned. The post will also involve the supervision and/or line management of relevant administrative/support staff as required.


The post holder will ensure good governance in line with relevant best practice is undertaken to the highest standards of probity and according to statutory and legislative requirements.

The post holder will provide senior administrative support for Board/committee meetings as assigned.

This post requires the post holder to work autonomously to investigate complex issues and identify relevant solutions.

The post holder will need to deal with complex enquiries, whilst prioritising their workload.


The post holder will be required to plan and organise activities some of which may be complex and require ongoing management and adjustment to ensure Directors are able to fulfil their responsibilities effectively including Board/Committee and senior management meetings as well as internal and external events on behalf of Directors.


In addition, the post holder will be required to manage a range of projects which will require formulation and adjustment.


You will be an excellent communicator and be confident and comfortable in dealing with internal and external people at all levels.


The post holder will be the first point of contact on behalf of Executive Directors, their deputies and other senior managers.


The post-holder will work as part of the Executive Support Team and will carry out any other duties as may reasonably be required by their line manager including temporary cover for other members of the team.

  • To support and assist the Executive Directors, their deputies and other senior managers in promoting the understanding of, and compliance with, relevant governance standards across the Trust.
  • To develop and be responsible for maintaining systems that ensure and demonstrate compliance with regulatory and best practice governance requirements including, but not limited to:
  • Care Quality Commission Fundamental Standards
  • NHS Constitution
  • Relevant contractual requirement including commissioner contracts.
  • Relevant professional bodies e.g. Nursing and Midwifery Council and General Medical Council
  • The Trust's strategy and relevant supporting strategies.
  • Providing effective support for the Board and its committees (as assigned), including:
  • Planning for Board/committee meetings including maintaining the forward plan and coordinating agenda planning with the relevant Chair;
  • Timely circulation of papers ensuring that the papers are reviewed;
  • Proactively monitoring progress against Committee action logs through liaison with Executive Directors, advising the Committee Chair of any outstanding issues;
  • Booking key meetings and events including securing appropriate venues, hospitality and any other necessary arrangements;
  • Producing high quality minutes, including at Board and subcommittee level, in line with the requirements for each committee; and assist in the preparation of papers for the Trust Board, subcommittees, other committees and working groups, ensuring all documents are proofread and amended as appropriate for final review.
  • Act in the capacity of Executive Assistant to the principal, performing support tasks including:
  • Robust diary management, balancing competing pressures and priorities and anticipating and planning future activity;
  • Managing an effective bring forward system ensuring the principal receives relevant Trust documents and papers in a timely manner;
  • Act as a gatekeeper to enquiries on behalf of the principal, signposting to relevant Senior Managers or departments where appropriate.
