Personal Assistant to CEO - Newcastle-under-Lyme, United Kingdom - ZR Consultants
Description
Responsibilities:
- Planning and coordinating travel arrangements, including booking dinners, coordination of flights, check in, VISAs, accommodation. Ideally someone who can manage a multitude of frequent changes at short notice and prepare travel itineraries
- Highly proficient with Excel, Word and powerpoint. Experience of pulling together professional presentations and proposals to present to clients preferred
- Experience of book keeping (Sales ledger, purchase ledger, Expenses, Timesheets etc.)
- Onboarding new employees
- Proactive diary management, facilitating swift setup of meetings
- Extensive use of Outlook to include inbox and calendar management, enabling the seamless coordination of internal and external meetings, travel and social appointments
- Meeting, conference calls, telepresence set up internally and externally
- Management of expense processing, reimbursement, account reconciliations
- System functionality utilise Excel, Xero, complete accurate data entry into systems and responsible for accurate collation of information
- Filing and document administration
- Become integral part of business, understand company priorities and staff expectations
- General Administration duties
- Full driving license ideally with own vehicle access (but not essential) and willing to drive CEO's children for school drop off and pickups regularly
- Comfortable working in a home office environment as well as remote
- Hours can be flexible but Monday to Friday is essential
Skills and Experience:
- Be willing to undertake an advanced DBS/CRB check
- 5+ years' work experience in the capacity of an Personal or Executive Assistant supporting at senior level.
- Experience of working in a highgrowth organization is a plus, as is working in a professional services.
- Ability to proactively manage projects in a fastmoving environment.
- High integrity and ability to maintain confidentiality of sensitive information.
- Self starter and able to use own initiative to identify and manage workload
- Reliable with a good sense of humour.
- Excellent oral, written, and interpersonal communication skills.
- Ability to deal with ambiguity and to be proactive with mínimal direction.
- Ability to effectively represent the organization in its relationships with external organisations
