Description

Working Hours:
Mon - Friday 08:30 until 17:30. Full time office based, with out of hours availability when required.

Out of Hours:

No fixed hours out of hours, but expectation to be on call at certain times, should there be any time sensitive emergencies to address.


Requirements:


  • High attention to detail, particularly with administrative and logístical requirements.
  • Brilliant Communication skills both written and verbally to both internal and external stakeholders.
  • A reliable, committed, and hardworking individual.
  • IT Literate, particularly with Microsoft Office and CRM systems.
  • A proactive worker with initiative.
  • A full driving license.
  • Ability to travel to various locations outside the main office.

Primary Roles:

  • Working closely with the Head of Commercial in ensuring that the endtoend sales process is followed.
  • Effective tracking and recording of all Imports, liaising with the relevant parties involved from end to end.
  • Maintaining accurate reconciliations of all Imports, Purchases and Sales, and being able to present them to management.
  • Competent use of the company software and processes to ensure that all sales and imports are captured properly and accurately.
  • Ensuring all sales confirmations, purchase orders and contracts are sent to the customers & suppliers.
  • Creating paperwork for each order, ensuring that they are compliant to industry standards, and all data is accurate.
  • Liaise with the Transport Manager and hauliers to ensure that drivers are fully briefed for each delivery and know all the details and timings, whilst ensuring that they have all the correct paperwork.
  • Liaising with ship agents and site representatives to ensure that there is suitable access for drivers when making deliveries, checking for the best times for delivery.
  • Postdelivery, liaising with suppliers and hauliers to ensure that all paperwork is received in time.
  • Working with the accounts team to ensure that billing quantities are correct and that invoices are sent on time.
  • Customer engagement required, covering sales enquiries and pricing, communication on existing orders, and postsale communications in ensuring invoices are received on time and paid on time.
  • Ensuring that relevant documents and paperwork are received on time and are stored correctly for ease of access and industry compliance.
  • Work with accounts to ensure that audits run smoothly, with evidence provided in a timely manner.
  • Adhere to internal processes and compliance when dealing with customers, ensuring that all counter parties are KYC cleared and sales are within agreed credit limits.
  • Transport issues to be dealt with competently and efficiently in order to minimise costs and keep customers satisfied.
  • Occasional company representation at meetings and events.
