Salary £26,816.72 per annum

Permanent, Part time, 40 hours per week

Within Care and Rehabilitation Services, the philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society on release.

We seek to normalise prison conditions as far as possible to reflect life in the outside community.

Our aim is to create an environment in which staff and prisoners feel safe and causes of prison stress are minimised.

Central to our philosophy is the relationship between staff and prisoners.

Our training and operational practices emphasise the need to treat prisoners with dignity and respect and G4S staff build positive and supportive relationships with the prisoners in their care.

HMP & YOI Parc accommodates 1038 convicted male adult prisoners and remand/ convicted young offenders and young people in a secure but modern environment.

We now have an opportunity for a Senior Helpdesk/Contracts Administrator to join our Facilities Management team at HMP Parc.


Key Responsibilities:


  • To manage own workload to ensure that managers' and contract timescales are met
  • To lead the helpdesk team to ensure that all helpdesk calls are logged effectively and information held on concept is kept up to date at all times.
  • To deal with escalations from helpdesk team members and to liaise with the client as required providing updates and facilitating resolutions.
  • To ensure that the helpdesk is covered at all times required by the contract.
  • To manage annual leave for helpdesk team members ensuring that appropriate helpdesk cover is maintained
  • Contribute to company objectives by meeting own performance objectives.
  • Purchasing of all necessary items for the contract ensuring compliance with company procurement policies
  • To maintain contract documentation and filing system to ensure compliance.
  • To maintain excellent working relationships with subcontractors to ensure high standards are delivered by all subcontractors used on site.
  • To order and maintain PPE records.
  • To have a good understanding of contractual requirements.
  • Provide general admin support for line manager and contract manager.
  • To run reports for the hard services team leaders and managers to follow through on outstanding jobs to meet target deadlines.
  • To deal with invoice queries to ensure smooth approval and payments.
  • Develop effective relationships with all customers and clients.
  • Adhere to company values.
  • Adapting to change well in an evolving business.
  • Working closely with the hard services team to provide a proactive service for their requirements.
  • To ensure compliance at all times but particularly in readiness for the numerous audits we encounter.
  • To undergo any training as and when required.
  • To complete any other tasks within the skill set required and directed by your line manager

Essential Skills:


  • Experience within an FM environment.
  • Excellent Organisational skills
  • Good communication skills and the ability to handle issues of high sensitivity
  • A good administration background
  • Excellent leadership skills
  • Ability to work to tight deadlines and targets.
  • Excellent communication skills both verbal and written.
  • Good working knowledge of Microsoft office and in particular excel and word.

Desirable Skills:


  • Resilient and able to work well on own initiative while under pressure, meeting tight deadlines while balancing a number of priorities.
  • IOSH managing safety
  • Working knowledge of concept evolution.
  • Working knowledge of SAP & ARIBA.Qualified to BSC level 2 in Health & Safety.
