About the role:


You should provide and lead effective personal assistance and administrative support to relevant Executive Directors, owning the service levels, ways of working and practices within your Business Area, i.e.

Trading, Support or Operations.

Key Responsibilites

  • Maintain a strong relationship with your Directors, fully understanding and preempting their needs and workload and using own initiative to help ensure their day runs as planned
  • Working with your PA colleagues to redefine ways of working to drive consistency in practices, focussing on efficiencies and agility within the PA role. Ensuring continuous improvement mindset and upskilling across all aspects.
  • Taking full ownership for a proactive approach to excellent end to end diary management for your directors, ensuring that all diary clashes are avoided and where they occur are dealt with accordingly (i.e. ensuring service levels to all attendees are accounted for).
  • Ensure a proactive approach to support each director to be ready for all meetings / activities, acting as a prompt to ensure they are prepared and have what they need
  • Prepare presentations, word documents and various other correspondence as and when required, preempting Director needs and improving the use of digital tools to support the Board.
  • Provide facilitation of meetings including notetaking, document preparation and any follow up actions where required.
  • Be a strong communicator, developing relationships with all key stakeholders and other PAs on a day to day basis to help drive efficiencies
  • Arrange appropriate travel and accommodation in line with both Company policy along with expense management meet each Director needs to ensure smooth and preemptive actions are taken to provide full support.
  • Maintain excellent knowledge of all Microsoft Office packages including Outlook, Excel and Powerpoint
  • Where relevant, manage and lead the Support Admin/Coordinator for your area, ensuring all their daily tasks are completed and service levels are maintained for your business area.
  • With the other PA's own team processes such as absence and attendance to ensure consistency in approaches across each area.
  • Assist with any other duties, acting with discretion and confidentiality at all times
  • Live the values at all times, working with discretion and supporting any business initiatives, helping the Board to role model where required, i.e. Meet free lunch, Effective meeting practices, digital approaches, colleague recognition

About You:


  • Excellent Communicator and ability to communicate with colleagues at all levels both internally and externally
  • Be seen as an expert in all Microsoft Office programs; Word, Excel and Powerpoint in particular
  • Excellent organisational skills
  • Be seen as an expert within your area for owning digital processes, acting with passion and ensuring continuous upskilling of programmes used to help support Matalan's digital agenda
  • Sound understanding of Matalan, the way we work and the fundamentals of our business
