**Job Description

  • PURPOSE**The role is the first point of contact for contract drafting and comprises the first and second line governance controls through the validation and confirmation of physical trades and will be crucial in validating the trade entries to ensure the accuracy of the data in the system, which has a direct impact on the commercial invoices. The role includes contract preparation, customer liaison and negotiation, system administration, reporting, adherence to Group Policies and general administrative support.
This role can also identify areas of value and/or risk exposure during the contract drafting stage.


TYPICAL TASKS

Deals Validation (Systems)

  • Check and validate the daily trade entries in Aspect system against the physical deal blotters and Trade Recap, thereby providing key point of control
  • Ensure the accuracy of data in the system through the validation of the daily trade entries, which has a direct impact on the commercial invoices
  • Ensure all deal blotters are appropriately reviewed and signed off and then properly filed and stored in the relevant systems

Contract Preparation and Execution

  • Interface with the Sales and/or Sourcing & Origination team to understand and analyse key contractual terms and clause
  • Analyse and identify potential operational issues prior execution and highlight the gaps and propose resolutions to mitigate such operational risks
  • Draft both purchase and/or sales contracts independently
  • Act as a gatekeeper to protect/ minimise the potential value loss through the different contractual/ commercial terms of the 3rd party purchase and sales contracts
  • Compile draft and final contracts on behalf of the Sales and/or Sourcing & Origination team, including addendums, which require understanding of the contractual framework, governance structure, as well as advising on the compliance to Group Policies

Contract Administration

  • Manage both supplier and customer communications and negotiations regarding contracts
  • Submit contracts to suppliers and/or customers for review
  • Liaise and negotiate with suppliers and customers to agree final terms, escalation to legal and/or Sales managers and/or Sourcing manager as required and in accordance with the Governance framework
  • Monitor execution of contract and subsequent filing of all contractual documentation in relevant repository
  • Manage approval process to deliver timely and accurate returns within the governance process
  • Identify and escalate any nonstandard deals or contracts
  • Ensure KYC and sanction check before sending out contract
  • Follow up with Front office on submitting blotter in a timely manner

Contract Reporting

  • Provision of regular and ad hoc reporting in relation to contract status, customer performance status, service delivery and issues associated with contract administration and preparation

Group Governance and Risk Management

  • Execute all contract administration activities in alignment with Group Business Integrity and Governance policies
  • Escalate and communicate any contract compliance discrepancies and other risk areas to the Team Lead and/or Manager-Sales Operations
  • Maintain accurate records within relevant systems

Customer Service and Engagement

  • Build up knowledge and relationships of assigned customers, inter alia, to enable anticipation of contract activities and contract terms
  • Act as the main focal point with internal and external stakeholders (such as sales, sourcing and origination, finance, shipping, logistics, book owner, legal, suppliers, customers) on contractual issues and thus is responsible to deliver high service level in terms of customer relationships and ad hoc reasonable requirements.

System and Process Improvements

  • Continuous review in the design, implementation and execution of the current process workflow for Contracts for improvement and value maximisation
  • Support in input and assist in improvement in current systems

  • Minimum 3 years' experience in international commodity operations or trading environment
  • Experience with contract management, preferably in Metal Commodi
