JOB TITLE:
Medical Receptionist


REPORTS TO:
Senior Receptionist


RESPONSIBLE TO:
Practice Manager


JOB PURPOSE

  • To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • To provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or on the telephone
  • To undertake a variety of administrative duties to assist in the smooth running of the practice and to help the practice achieve its objectives.

JOB RESPONSIBILITIES

  • Ensuring an effective and efficient reception service is provided to patients and other visitors to the practice
  • Maintaining and monitoring the practice appointments system
  • Processing requests for appointments, visits and telephone consultations and ensuring that patients are directed to the appropriate healthcare professional
  • Dealing with all general enquiries, explaining procedures and making new and follow up appointments
  • Processing incoming and outgoing mail as required
  • Receiving and making telephone calls as required. Diverting calls and taking messages, ensuring accuracy of detail and prompt delivery
  • Accurately inputting patient data to the computer system as required
  • Dealing with repeat prescription requests making sure they are available for collection within 48 hours
  • Advising patients of relevant charges for private (_i.e_. non GMS) services, accepting payment and issuing receipts
  • Arranging transport & ambulances where necessary for patients
  • Ensuring that doctors rooms, waiting areas, reception and patient toilets are kept clean, tidy and stocked up.
  • Premises
  • Opening up the premises at the start of the day when rota's to do so. Deactivating the alarm and making all necessary preparations by following the "Opening up Procedures" list provided.
  • Closing the premises at the end of the day when rotat'd to do so by following the "Closing Procedures" list provided.
  • Any other additional duties appropriate to the post as requested by any of the GP's, Senior Receptionist, Practice Administrator or the Practice Manager

CONFIDENTIALITY

  • In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately. The postholder will therefore be required to exercise the same degree of patient confidentiality normally expected of a GP or nurse
  • In the performance of the duties outlined in this Job Description, the postholder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the practice Health & Safety Policy, to include:

  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Reporting potential risks identified.
