Hours: 8 hour days, Monday to Friday.

360 Event Hire Ltd are one of Scotland's fastest growing event equipment hire suppliers supporting the events, festivals, wedding, TV and film sectors across Scotland.

As part of our continued growth, we are looking to expand our team by having someone join us to help administer and coordinate our logistics operation.

This role will mainly involve the scheduling and routing of vehicles and crew in the most efficient way to meet the demand of jobs in the calendar.

The other part of this role is general office administration and coordination.


We work with a varied range of clients including numerous wedding and event venues, sporting events, festivals and corporate events.

We work on jobs of all sizes, from small gatherings at residential homes to large national and international events.


Specific Roles and Responsibilities

  • Complete Administrative Apprenticeship to a suitable standard, attending inperson and/or online educational requirements outlined (Fife College)
  • Complete any onthe job training as required as part of this role.
  • Coordinate and schedule the efficient delivery and collection of hire equipment on a day to day basis, taking into account various constraints and logístical considerations such as: staff and van availability, size of job, location and travel times, timing constraints, and unload/reload times.
  • Liaise with the hire department on job specific logistics requirements.
  • Accurately sizing the vehicle and crewing requirements for jobs.
  • Organise and keep up to date the digital scheduling system to allow for efficient and streamlined operations.
  • Schedule vehicles and crew in the most efficient manner for the company in order to meet the deadlines for all jobs.
  • Monitor the staff rotas, helping to schedule our full time team as well as part time, freelance and seasonal workers.
  • Liaise with subcontracted transport companies where required.
  • Liaise with customers on any specific logistics queries.
  • Manage the venue delivery addresses on the system, keeping them up to date and accurate for the drivers.
  • Organise customer collections and returns from the Warehouse.
  • Organisation of the rental management system, so it is always a clean, orderly and efficient system that allows for streamlined operations.
  • Answering the main telephone line.
  • Liaise with the team to address queries relevant to their area of work.
  • Assisting the Managing Director with administration duties.
  • General administration tasks associated with coordinating the office.
  • Keep all work related information confidential and act in a professional manner at all times.
  • Identify any areas of our operation where you believe training and additional skills may be required or benefit yourself or the business.
  • Identify any systems or processes within the business where you believe improvements or changes could be made that benefit yourself or the business.
  • Ensure that the Company's policies, rules, procedures and obligations are observed in carrying out the above duties.
