Description
The post holder will receive training and guidance in order to provide general administrative support to theClinical Coding team.

The post holder will be required to manage own time effectively, prioritising own workload to meet competing demands.

To attendBridgwater and Taunton Collegeto complete anApprenticeship in Customer Service and an NVQ in Business & Administration. A learning agreement contract must be signed alongside the Trust's fixed term contract.

Mandatory reviews will take place with the mentor / manager at three-month and six-month period.

To attend and keep up to date with all statutory and mandatory training requirements commensurate with the role.


The post-holder will be required to deal with enquiries and respond to these, support ad assist the clinical coding admin team and the clinical coders.

They will need to demonstrate a professional approach in handling sensitive and confidential information.

Assist with collection and delivery of medical records from around Musgrove Park Hospital, and updating databases. Organise and minute meetings, be responsible for equipment within the department and order stationery.

Somersetis a rural community served by several Community Hospital sites in addition to Musgrove Park Hospital which is only a short walk from the centre of Taunton.

The post holder will be in contact with a wide range of internal and external contacts and will be required to:

  • To respond to enquiries, providing both written and verbal information, directing queries to other departments/agencies as appropriate, referring complex communications to other colleagues when necessary
  • Act as a supportive and adaptable team member, assisting with the work of others when required.
  • Provide a polite, courteous and responsive customer service, understanding the link between own professionalism and the possible impact on the department's image
  • Demonstrate a professional approach in handling sensitive and confidential information


The post holder will be required to complete all work in a timely manner and present to a high standard of accuracy.

The general administrative duties are set out as follows:


  • Provide a professional welcome to visitors, patients, staff and service users.
  • Answer the telephone, deal with queries relevant to the service and/or take accurate messages, record details and pass on to the appropriate team/individual in a timely manner.
  • Assist with the collection and delivery of medical records from wards, clinical areas and other departments within the hospital
  • Receive, open, sort, electronically date stamp and distribute incoming mail and prepare outgoing mail, on a daily basis.
  • Responsible for accessing, inputting and updating various computerised systems on a regular basis (i.e.
Patient Administration System, Outlook, intranet web pages)

  • Copy typing of letters and reports.
  • Photocopying, filing, record keeping, shredding, plus other general office duties as and when required.
  • Organising meetings, circulating agendas etc. (including booking venues and ordering catering)
  • Confirming meeting room / equipment bookings
  • Updating IT equipment inventory
  • Stationery ordering
  • Note taking
