Facilities Coordinator
About the Role
We currently have an exciting opportunity for a part-time Facilities Coordinator. This position is based in London, Francis Street, SW1P 1QN
Key Duties / Responsibilities
Front of House service to meet and greet visitors and customers as instructed by the customer
Perform office administration/concierge tasks such as stationery ordering, franking and post, meeting rooms and office desk booking, taxis and accommodation arrangement
Organize any events as instructed by the customer to include hospitality, marketing, suppliers
Primary communication between customer-nominated personnel and appointed facilities service providers
Assist in the procurement of vendors and services as required
Assist in the management of all contractors onsite to ensure they perform to the required standards (including inspection of 'vendors' works)
Provide minor onsite repair, administrative and coordinative support to the customer
Set up, maintain, and organize the department's central files, information, and filing
Conduct regular audits, like fire safety audits, with the support of Flexim EHS Manager to ensure safety procedures onsite are in place and working
Assist in carrying out safety procedures when needed, including evacuation drills
Weekly fire tests
Follow established escalation procedures and incident reporting procedures
Skills & Experience
Ambassador for Client and Flexim
Experienced reception duties, hospitality, facilities or related field (beneficial)
Hands-On and Flexible to support the customer's needs
Proactive & professional approach to customer service
An excellent communicator - both written and verbal communication, including strong computer skills (Word, Excel, PowerPoint, and Outlook)
Able to work independently and take positive action to resolve issues on own initiative
Able to interact with the general client staff & vendors with ease
Able to manage conflict and conflicting priorities
