Lumiere MediSpa is a specialist non-surgical cosmetic skin clinic and skincare store in Headington, Oxfordshire.
We are led by award-winning Aesthetic Nurse Practitioner, Adrian Baker, who is joined by a talented team of Aesthetic nurses and Aestheticians.
We provide the very best in skin health and anti-aging treatments, including injectables such as Botox and dermal fillers, Laser, HIFU, and IPL.

This role is a patient-facing role, creating relationships with new and existing patients, and ensuring that their experience of Lumiere Medispa is an exceptional one.
Main Duties
and Responsibilities:
Front of House/Reception:
- Finalising the patient journey at the reception desk. This includes taking payments, setting up treatment packages, rebooking appointments and ensuring the patient leaves feeling happy.
- Welcome walkin leads and confidently provide information about the clinic and services we provide in order to convert their enquiry into a consultation.
- Booking new consultations and appointments.
- Resetting waiting pods in between appointments
- Notifying company personnel of visitor arrival.
- Keeps a safe and clean reception/ shop and waiting area by complying with procedures, rules, and regulations.
- Ensuring Patient confidentiality, in line with Lumiere Medispa's confidentiality policy
- Dealing with smooth running enquiries such as patients getting lost and needing direction and anticipating any issues that may arise from patient cancellation,sickness, running late etc.
Sales:
- You will be expected to be fully knowledgeable of all skincare products available in the clinic so that you can effectively inform of product particulars and sell patients a skincare product/routine.
- You will be expected to be fully knowledgeable of all treatment services and prices provided within the clinic so that you can effectively guide patients, such as intervals between treatments, what the treatment involves/feels like/can achieve. You are not expected to have any clinical knowledge of treatments/side effects/interactions etc. or to specifically advise a treatment plan. When in doubt you should liaise with a clinician and get back to the patient.
Communications:
- Social channel inbox and messenger app communication management, including communications with new leads/existing patients.
Accounting:
- Cashing up with endofday reports
Clinic Coordination:
- Opening up and setting the clinic ready for the day ahead. This includes syncing clinic wide music, lighting, setting up waiting for pods headphones with Ipads, making fresh Tranquilli-Tea,
- Closing down and readying the clinic for the following day.
- Signing for parcel deliveries, unpacking and putting away/restocking
- Diary management of appointments, blocking out for staff breaks, holidays, rep visits, meetings, and staff training.
Building Maintenance:
- General housekeeping of retail product shelves, once a week.
- General housekeeping duties around the clinic eg. keeping the kitchen clean and tidy and cups washed regularly; Patient toilet checked and restocked as required.
- Daily recording of medical fridge temperatures.
Crossover Duties:
- Answering incoming calls and dealing with enquiries, including booking patients, managing existing appointments and helping with general enquiries.
- Involvement in social media including the participation and uploading of videos and images, agreed with the clinic Marketing Manager.
- Taking care of other staff members, making refreshments etc.
General:
- Work in line with the Lumiere MediSpa Staff Hand Book and Clinic Policies and Procedures.
Qualifications/Experience
Previous experience of reception duties is essential. Previous experience with skin care/retail is desired but not essential. Experience within a Beauty or Aesthetic Clinic is desired but not essential.
