Description

The post holder is responsible for supporting the supervisory team within the Health Records Service at a specific site and supervising the day to day activities of designated teams, providing an efficient and high quality service.

The post holder may be required to ensure cover outside of core hours if appropriate.


The post holder should exercise initiative to coordinate activities within the department to support the agreed working practises, policies and procedures are followed in day to day practice.


To be the point of reference for advice and guidance to the Health Records staff and other Trust staff in the use of EPR to view scanned patient records and other systems such as supplementary tracking.

Review clerical tasks and duties, ensuring audits of proforma are completed regularly to support the workload in the department. Escalate any workload issues to the supervisor when appropriate

To provide advice and guidance to staff to locate missing documents/supplementary folders/case notes. Conduct a thorough search for notes that remain unfound in line with Health Records Policy. Escalate where appropriate.


The NCA Health Records Service will be central in the move to scanned health records as part of the Trust's developing Electronic Patient Records and will therefore provide a different service than has historically been the case.


The NCA Health Records Service will retrieve and prepare records for scanning in advance of planned patients outpatient appointments and admissions along with providing a service for short notice and non-planned appointments and admissions.


A records library service will be maintained for low retrieval records which are not currently in active use, for deceased patients and items that will not be scanned and manage the destruction of these records in accordance with the Records Management Policy.
