The UOC comprises 150 faculties and departments, together with a central administration and other institutions. Our

institutions, museums and collections are a world-class resource for researchers, students and members of the public representing one of the country's highest concentrations of internationally important collections.

This varied and interesting role offers opportunities to develop secretarial, administrative and PA skills. You will join a friendly team based in central Cambridge at the Student Services Centre, which is the base for the four key areas of Education Services

  • Education & Student Outcomes
  • Student Admissions and Access
  • Student Operations
  • Student Support


This role will work specifically to ensure the smooth running of the work of the Deputy Heads of Education Services, including diary management, scheduling meetings, booking meeting rooms and ordering refreshments.

There may be other admin-related tasks which you will be asked to complete, with support as and where necessary.

Previous administration experience is advantageous, but not essential. Applicants are required to be familiar with Microsoft Office packages such as Word, Excel and Outlook. Further training and development in these packages will also be available to the role holder.


Main Duties Include:


  • Provide administrative and PA support to the Education Services Senior Leadership Team senior staff (Head of Department, Professors etc.).
  • Produce letters and other correspondence, data entry and maintenance of data records.
  • Attend team meetings, make notes prepare any follow up action lists and circulate as required.
  • Manage and coordinate diaries to ensure that time is wellordered and prioritised.
  • Resolve conflicts in timing, coordination of the diaries of senior internal and external individuals. Identify immediate daily priorities and ensure that timely action is taken and followed up.
  • Collate and distribute agendas and supporting papers.
  • Maintain a running list of topics in liaison with the department secretary or Head of Department to ensure that all business is addressed, and appropriate papers are prepared and disseminated, arrange travel and accommodation where necessary.
  • Organise events and meetings. Advise on venues, book rooms, order refreshments, send out invites and directions, word process, collate and distribute materials for events, seminars, meetings.
  • Support committees and departmental meetings. Provide information for reports, draft agenda and minutes, circulate meeting papers, monitor membership of committees, compile paperwork for conferences as required.
  • Maintain and update webpages and staff database.
  • Maintain departmental documentation which may include, information on current staffing, newsletters, information bulletins, seminar and conference programmes, etc.
  • Act as first point of contact for enquiries to the Deputy Heads of Education Services, respond accurately to queries and refer others as appropriate.
  • Other duties administrative duties to support the running of Education Services.
Entry requirements

GCSE Maths and English as grades 4 or above required.

Training to be provided

  • The learner will be studying the Business Administrator Level 3 Apprenticeship Standard qualification.
  • Functional skills will be studied if equivalent qualifications are not held.
