We are currently recruiting - 3 temporary (Bank) Clerical Officers (up to 37.5hrs pw) to join our Oncology team based at Cheltenham General Hospital.


The successful post holders will be working within a demanding but rewarding environment and will be contributing to patients receiving their care.

You should therefore possess a professional and proactive attitude at all times.

An excellent telephone manner is essential; an ability to work calmly under pressure and to use your initiative.
You should demonstrate a flexible approach to ensure tasks are carried out to a high standard.

You will also cover colleagues across the department during busy times or annual leave.


Providing the best service to our patients is vital and you will therefore be passionate about patient care, with a proactive and patient focused attitude.


To provide friendly and professional administration support to the Oncology Dept, and within the service line as necessary, and under the day to day supervision of the Secretary Supervisors.


Knowledge of NHS computer systems would be preferable, but you may also be familiar with other computerised tracking systems and be a quick learner.

Key Results Area

  • Provide professional administration cover to the secretarial teams within the Oncology Department
  • Conversing with patients/relatives over the telephone; this requires sensitivity as the post holder may be required to deal with people who have difficulty understanding the situation or who maybe aggressive and/or upset.
  • Processing requests for ambulance/car services for attendance of outpatient appointments where required
  • Assisting with the maintenance and filing of Oncology case notes within the various secretarial and admin offices in the department
  • Returning and tracing out Oncology/general hospital notes to the appropriate department or hospital
  • Pulling and prepping copious amounts of hospital notes for clinics.
  • Accessing various hospital systems to retrieve results as required
  • Assisting with typing as required
  • Participation in the registration of new patients; archiving of notes and participating in the processing of archived notes outwards/inwards
  • Collecting notes for clinics from various hospital departments
  • Entering patient data into the computerised patient administration system (Trak) on a daily basis
  • Preparing incoming and outgoing postal correspondence, ensuring that priority post is sent out on a regular and daily basis, use of external postal system.
  • Assisting with covering of reception desks when required
  • Provide relief admin cover for annual leave and sickness in the Oncology Department when required and at short notice
