This is a great opportunity for an administrator to join our dynamic and innovative pharmacy team.

The department has been through significant developments including a rebuild of the department, new IT systems and new innovative roles to improve medicines optimisation.

You will be working in the brand new pharmacy with a very friendly and supportive team.

You will be based in the Pharmacy department at Highgate Mental Health Centre. Full training will be provided.


In order to be successful in this role, you must have a minimum of 4 GCSE's in English, Mathematics and Science (Grade C/4 or above) and excellent at MS Office programmes particularly Excel.

You must also be highly organised, motivated, have excellent communication and people skills as well as the ability to adapt quickly to new situations.

This position is a part of a pharmacy procurement and distribution team, which responsible for the Trust's patients receive the right amount, quality, and price of medications in an efficient and effective manner.

Your main duties as an administrator for the pharmacy department will be to support the department, input data and populate KPI, keep track of absences and leave, process orders for pharmacy consumables and supplies, process invoices, and communicate with accounts payable.


The person in this position will prioritise tasks effectively, be well-organised, have strong IT skills, and be able to take initiative to develop and enhance office support systems as needed for maximum efficiency.


The post-holder will support the Pharmacy Procurement Manager in the provision and development of a high quality and effective pharmacy procurement and distribution service.


To support the Chief Pharmacy Technician and Chief Pharmacist in delivering strategic objectives of maintaining and developing pharmacy services across the trust.

  • To raise orders for pharmaceutical sundries by using the purchasing system (Agresso) and submit them to authorised personnel for approval.
  • To use discretion in the processing of pharmacy orders considering the degree of urgency, possible financial implications and be responsible to the Pharmacy Procurement Lead for such action taken.
  • To treat as confidential, the commercial information and legal implications of drug and ancillaries purchasing, storage, and distribution. Maintain adequate stocks and reorder routinely used office sundries via various purchasing systems.
  • To communicate with suppliers on any shortages, breakages or other discrepancy and arrange the correction of these.
  • To expedite orders on own initiative based on stock holding and urgency.
  • To process invoices & credit notes against delivery notes as to their correctness, quantity, and price, carrying out all necessary checks.
  • To note price changes on appropriate purchase records, determine the implications of these and advise the Pharmacy Procurement Lead, as necessary.
  • To initiate correspondence with suppliers on queries arising or, where appropriate, to make telephone enquiries, advising the Pharmacy Procurement Lead, as necessary
  • To coordinate and facilitate production of routine reports for the pharmacy department as required.
  • To be responsible for implementing, maintaining, and updating departmental administrative procedures and systems.
  • To maintain and update both electronic and manual filing systems.
  • The post holder will require an excellent working knowledge of IT systems including Word, Excel, PowerPoint, electronic purchasing, and electronic staff record systems,
  • To use initiative appropriately to deal with and prioritise post and telephone calls.
  • To liaise with external suppliers and the Pharmacy Procurement Lead to ensure any problems with orders are dealt with in a timely manner keeping appropriate records.
  • Write and implement SOPs.
  • To collate audit data and compile reports as requested by senior management.
  • Prepare KPI and other reports as per Pharmacy Procurement Lead and Chief pharmacis
