Procurement Administrator

An exciting opportunity has arisen for a Procurement Administrator to join a leading organisation based in Belfast.
This is a full-time, Permanent Position

Working hours: 37.5 hours per week 8am - 6pm, Monday-Sun, Rota Based


Salary:
starting £20,470 (rising to £22,500 April 2023)


Job Purpose:

The Procurement Administrator will be the key point of contact for Purchase Orders, Internal purchase requests & invoice queries.

This role will require a keen eye for detail and a high work ethic to ensure no stock issues in a fast-paced office environment.

Training will be provided.


Essential Criteria:


  • 5 GCSE grades A-C including Maths and English or equivalent.
  • A minimum of 1 years' experience in a similar role.
  • Motivated and enthusiastic Commitment to ongoing development
  • Willingness to provide flexible cover as and when required
  • Ability to work as part of a team
  • Ability to work on own initiative

Main Duties and Responsibilities:


  • Responsible for daily ordering for the organisation
  • Help create and adhere to efficient processes to manage the receipt, location, and distribution of all goods delivered
  • Reporting of any shortages or damages in a timely manner to the Supplier to be dealt with.
  • Update Sage 200 daily recording information accurately to ensure efficient stock control.
  • Responsible for keeping Happyfox ticket system up to date and ensuring KPIs are being met.
  • Undertake replenishment and/or reordering of stock items as agreed with management.
  • Responsible for the replenishment of stock to various stores throughout the group.
  • Liaise constantly with the Stores team about stock levels, reordering, stores stock listings, returns and any delivery discrepancies.
  • Responsible for chasing orders and ensuring we are prepared for any delays. Shortages/Issues will be reported to relevant staff/management to ensure no 'stock outs.
  • Help to organise and participate in the Group stocktakes.
  • Take part in implementation of scanning system (Sage warehousing) to improve stock control within the group.
  • Implement Cost Savings & avoidance where possible to contribute to Procurement Team targets.
  • Report on KPIs where needed.
  • Communicate orders/issues effectively with suppliers. May be required to meet suppliers to discuss business. May also be required to help rearrange stores to ensure the highest level of efficiency possible.
