Operations Lead

Overall purpose:
To effectively manage the Bike Workshop, Cycle Training and all related programmes.


Reports to:
People & Culture Lead


Hours:28 hrs per week, 4 days per week - can be flexible.


Location:
Broken Spoke office and workshop (St Thomas School, Osney Lane, Oxford, OX1 1NJ) and remote working with prior agreement


Salary:
£27.000 per annum (pro rata)


Contract length:
Permanent or temporary - min 6 months


About the role


We are looking for somebody to lead on the delivery of Broken Spoke's core programmes and manage our busy community bike workshop.

If you have experience working in the cycling industry, a passion for mechanics and facilitating learning, experience with managing people, projects or premises, and you share our values, then this role could be for you.

The Broken Spoke, as a community bike project, aims to be a safe space for everyone.

We want to break down barriers so that anyone feels comfortable and welcomed to all of our activities, regardless of riding skill, mechanical knowledge, gender, race, sexuality, class, etc.


We are looking for an Operations Lead who is passionate about inviting people who might not think of or see themselves as 'cyclists' into cycling spaces.

You will manage our mechanics and cycle instructors.

You will report to our People & Culture Lead, and also work closely with our Business Development & Fundraising Lead.

The three of you will form Broken Spoke's small but mighty core team, working with our mechanics and cycle instructors, our volunteers and our Board of Directors to serve Oxford's cycling communities.

Responsibilities

1/ Workshop & Cycle Training

  • Ensure all Workshop and Cycle Training Programmes run effectively, working closely with the Business Development and Fundraising Lead and input into Marketing and Fundraising campaigns relating to Programmes.
  • Work with the Workshop Lead in managing the day to day running of the workshop including tool coordination and stock coordination processes. Ensure that stock levels are maintained appropriately and pricing is set to achieve acceptable and realistic margins. Replacement tools to be sourced as and when required and maintain and develop tool walls.
  • Develop, communicate and manage effective KPI's within the Workshop and Cycle Training, ensuring margins are maintained, stock holding is managed and quality complies with relevant Programme schemes and standards.
  • Ensure a good level of customer service within all programmes.

2/ Manage the Workshop & Cycle Training Teams

  • Manage our teams of Mechanics and Cycle Instructors, carrying out line management, training, performance management, reviews and fostering a culture of mutual support and collaboration, and, when needed, hiring new staff;
  • Ensure appropriate resourcing to deliver our activities and align staffing with our financial needs;
  • Collaborate with the People and Culture Lead to ensure appropriate volunteer involvement in our activities.

3/ Manage the workshop premises and our policies

  • Maintain a safe, friendly and inviting workshop for our staff, volunteers and wider community, maintaining tools, managing waste, and managing our relationship with our landlord;
  • Lead on the implementation and development of our organisational policies, including Health and Safety, Safeguarding, Equal Opportunities, Safer Spaces, Waste Management and Data Protection.

4/ Manage sales and operational finances

  • Work to boost income from activities in line with the targets in our Business Plan.
  • Ensure profit and loss for all Programmes is managed effectively.

5/ Volunteers

  • Take responsibility for the recruitment, training and managing of all volunteers.
  • Develop and maintain a Volunteer strategy that supports all relevant programmes and functions.

6/ Systems

  • Ensure all relevant IT systems are updated and working as appropriate.

Skills & Experience

  • Experienced cycle mechanic, ideally having managed a cycle workshop previously.
  • Awareness of Bikeability Cycle Training
  • Previous experience in managing a team
  • Ability to do computerbased work (we work with google sheets, Slack messenger,
among others)


Desirable

  • Experience working in a retail environment
  • Previous experience working with volunteers, including vulnerable people
  • Experience or interest in working in a purposedriven organisation or with
campaigning or activism (paid or voluntary)

  • Experience with financial modelling
  • Experience with risk assessing activities and workspaces
  • Cycle Training experience
  • Experience managing a Bikeability Scheme
  • Educational experience working with adults and children
