  • What Is the Opportunity?
  • The Company Secretarial Assistant will provide daytoday assistance to the Company Secretary with Board Support, Meeting Management, File Management and Systems Management. The role will also be responsible for the setting, attending and minuting of meetings as allocated and will act as the Company Secretary of those meetings as appropriate.
What Will You Do?

  • To assist the Company Secretary in the setting of Board and Board Committee meetings for all Travelers Europe companies;
  • Liaise with Members (including iNEDs/GNEDs), Regular Attendees, Invitees, Presenters and EA's / Assistants to coordinate calendars for attendance;
  • Assist the Company Secretary in drafting agendas, collating papers and circulating packs;
  • Assist the Company Secretary during the meetings to ensure that invitees/presenters arrive and leave the meetings timeously;
  • To assist the Company Secretary with the collation, review and upload of documents, reports, materials and information to the System of Board meeting management;
  • To attend as directed these meetings to take accurate notes for minutes and actions from these meetings;
  • To produce a schedule of actions from these meetings;
  • To track and coordinate responses to the actions for the following meeting or as scheduled;
  • To ensure that all regular filings (such as Confirmation Statements etc.) with Companies House (via DE, Webfiling or Manually) are submitted accurately and on time;
  • To ensure any and all additional filings (Statutory, Regulatory or otherwise) are submitted accurately and on time;
  • To ensure that the Departmental files, folders and registers are kept uptodate and accurate;
  • To ensure any process notes, procedural notes, checklists or guides are kept uptodate and accurate;
  • To keep track of Board related requirements e.g. annual evaluations, and assist Company Secretary in coordination and fulfilment of these requirements;
  • To assist the Company Secretary with any Group, Business or Departmental Projects or tasks as directed.
  • Perform other duties as assigned.
  • Having, or working towards, an appropriate Company Secretarial or Governance qualification is preferred.
  • Financial Services background preferred.
  • Excellent communication and organisation skills.
  • Attention to detail and accurate.
  • Flexibility to work independently, and/or as part of a team.
  • Confident and experienced with attending and minuting Board, Committee and Management meetings.
  • Experience in BoardVantage or another System of Board meeting management tool preferred.
  • Professional and Diplomatic.
What is a Must Have?

  • Minimum of 2 years Company Secretarial Experience.
  • Strong expertise in the use of Diligent Entities and other Company Secretarial systems.
  • Strong understanding and experience in MS Office.
