The Post

The Administrative Assistant will support the Directorate of Research, Innovation and Business Engagement in delivering and supporting our research contracts process.

The role holder will be responsible for all administrative aspects of the research contracts process.

They will coordinate the communication of contracts to academic colleagues and external partners via online resources, updating details as required.

They will deliver a highly professional level of administration as the first point of contact for contract related enquiries. They will provide meeting support to the Universities TRAC and TAG Group. Research, Innovation and Business Engagement have adopted the Universities agile working framework and can involve remote working.


Description of Duties

  • Support best practice administrative processes related to research contracts, including preparing contracts for signature, circulating for signature, following up on the progress and managing fully executed contracts
  • Ensure that all contracts resources, particularly online, are uptodate
  • Maintain accurate records of all contracts activity on searchable spreadsheets, databases and online systems
  • Coordination of the preparation and distribution of correspondence to researchers and other parties regarding contracts
  • Respond to enquiries from academic colleagues, external partners, and the wider Research, Innovation & Business Engagement directorate
  • Provide meeting support to the Universities TRAC and TAG Group
  • Assist with general administration including meetings, event and training organisation, room bookings and responding to general enquiries
  • Undertake such other duties, commensurate with the nature and grade of the role, as may be required

Essential Criteria

Qualifications:


  • Educated to HNC level or equivalent (where no formal qualifications are held, additional, relevant experience is required)
Knowledge & Experience

  • Relevant experience working in a busy team/office
  • Experience of providing advice and guidance in response to customer enquiries
  • Experience of providing effective clerical and administrative support
Skills & Attributes

  • Advanced knowledge, understanding and competence using a variety of IT systems (including Microsoft Office 365)
  • Ability to work independently as well as part of a team
  • Excellent verbal and written communication skills
  • Ability to prioritise multiple tasks and meet deadlines with a 'can do' approach and a focus on excellence in customer service
  • Flexibility, reliability and punctuality

  • Experience of working in a higher education or similar environment
  • Experience of using Worktribe
  • Experience of minuting meetings
  • Professional training
