Position:


Sitting as part of the Finance and Contract Management team, this is an exciting opportunity to support the Lead Order Book Coordinator in an administrative capacity.

The role encompasses processing, licensing, and triggering of customer orders, as well as acting as a voice for the Order Book Management Team, championing the service we provide.


Your key responsibilities

  • Check and evaluate customer orders
  • Work with Sales to ensure necessary amendments are promptly communicated and understood
  • Process orders through to the business for delivery, update Jira and Actitime with contract data
  • Monitor the 'Jira Service Desk Portal' & Commercial Inbox and triage to the relevant team member to action
  • Assist in the resolution of customer query tickets
  • Review new orders and ensure payment terms are understood and correctly recorded
  • Proactively prepare timely and accurate triggers for Customer Invoicing, working flexibly with the Customer Invoicing Administrators
  • Process, evaluate and action Order Book Change requests
  • Investigate and respond to internal order book queries from the business
  • Collaborate effectively with team members and other departments

Requirements:


Qualifications
***- GCSE English and Maths (or equivalent) at grade C or above (essential)

***
Experience
***- Proven experience of project co-ordination and tracking

  • Previous experience in a busy office environment
  • Proven track record in a customer support or administrative role
  • Knowledge of customer invoicing

Skills

  • Organised and methodical with a strong attention to detail
  • Working knowledge of MS Office, especially Excel, Outlook and Word
  • Able to work under pressure
  • Effective task prioritisation
  • Strong interpersonal skills
  • Numerate
