Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Team Secretary/Administrator.
You will play a crucial role in providing secretarial support to the team to ensure the smooth operation of the Taunton office.
This is a part-time, permanent position.Job Description:
- Attending office meetings when necessary to discuss properties
- Preparing marketing material for market appraisal appointments.
- Typing up of marketing reports including expenditure schedules and contracts as necessary for vendors.
- Collating all documentation and preparing new files for properties coming to the market.
- Ordering of photographs/video films/floorplans/EPCs and brochures and being the main contact in all areas of producing the marketing material.
- Creating window cards/price lists and making sure the front office filing cabinet is kept updated with brochures/correct prices.
- Greeting clients and answering telephone calls/enquiries from vendors/applicants/solicitors/advertising agencies etc, booking appraisals, viewing appointments, surveys, mortgage valuations as well as liaising with advertising and media companies.
- Updating diary system and activity feed / loading relevant information onto system in readiness for marketing.
- Maintaining office supplies and ordering as necessary.
- Collating ID documentation/proof of funds and undertaking online antimoney laundering checks for vendors and purchasers and when required preparing offer letters, memorandums of sale and invoices when necessary.
- Producing Reports for maildrops/flyers and newsletters.
-Assisting in aspects of IT relevant to the smooth running of the JS Taunton Office.
- Duties will of course vary day to day and you must be flexible in your approach to work, supporting where possible with tasks associated with the sale / purchase of the property.
- Filing of current property files to be kept up to date.
Requirements:
- Proven experience in an administrative role
- Proficient in using Microfsoft Office (Word, Outlook, Excel etc.)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent attention to detail and accuracy
- Ability to work independently and as part of a team
- Strong written and verbal communication skills
- Ability to type accurately at a reasonable speed
- Professional phone etiquette
Job Types:
Part-time, Permanent
Pay:
£13.00-£15.00 per hour
Expected hours:
No less than 15 per week
