Job Purpose

As an Assistant Administrator you will be flexible to work in support of our teaching and assessment functions and a range of other linked administrative activities.

You will work within a team of administrators and liaise with academics and students to provide high quality, effective and proactive administrative support.

The role is essential to enhance student experience and support academic staff.

Teaching takes place at clinical sites across the West of Scotland, and the post holder's primary base will be the Wolfson Medical School Building.


Main Duties and Responsibilities

  • Work with other administrators, and Year Directors/Coordinators in the organisation, delivery, and evaluation of a range of areas - Glasgow Access to Medicine Programme, Student Selected Component teaching, Simulated Patient Programme and GP administration. You will also support the overall assessment processes.
  • Assist with course administration and the editing, collation, and distribution of course documentation, including regularly reviewing, recording, and maintaining accurate information on Moodle sites.
  • Arrange and maintain records of supplier and casual worker payments.
  • Actively manage and maintain accurate record keeping relating to student attendance, escalating issues as appropriate.
  • Disseminate information using electronic systems, organise bulk mailings and distribute materials to tutors and students.
  • Assist with the organisation and administration of a range of committee meetings, as required.
  • Assist with the set up and on-the-day administration for OSCE assessments at a range of hospital sites in Glasgow and the West of Scotland.
  • To provide efficient and effective co-ordination of teaching and assessment delivered on campus, online and at clinical sites.
  • Contribute to a culture of continuous improvement by suggesting service improvements and supporting the implementation of new processes to enhance quality of service.
  • Undertake any other relevant administrative duties as reasonably requested by the Administrative Undergraduate Medical School Manager and Deputy Manager.

Knowledge, Qualifications, Skills, and Experience

Knowledge/Qualifications

Essential:


A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar role(s).

Or, Scottish Credit and Qualification Framework level 7 (SVQ level 2/3, HNC) or equivalent, and experience of professional development in a similar role.


Desirable:

B1 Knowledge of University core business systems such as MyCampus, CMIS and Moodle.


Skills

Essential:

C1 Good interpersonal and communication skills, including tact, diplomacy, and discretion.
C2 Proficient in the use MS Office (Word, Excel, Outlook).
C3 Ability to plan and prioritise tasks across a range of administrative activities.
C4 Ability to work accurately, with attention to detail, summarising relevant information in an efficient manner.
C5 Ability to work independently as well as part of a team.
C6 Demonstrate a proactive approach to problem solving.
C7 Flexibility to work across and prioritise a range of tasks.


Experience

Essential:

E1 Administration experience.
E2 Experience of managing workloads in a timely manner to ensure that weekly, monthly, and annual deadlines are met.


Desirable
F1 Experience of working in administration in an educational or higher education environment.
F2 Experience of administration of learning and teaching activities.


Terms and Conditions
Salary will be Grade 4, £22,681 - £25,138 per annum.
The University is looking to Recruit 6 Assistant Administrators. These posts are full time (35 hours per week) and open ended (permanent).
