The Data Processor will be responsible for all policy data input (Trade Credit Insurance, Bonds, Supply Work & Finance) into GoldMine and data verification using the policy schedules for all Xenia offices.

Offering business support loading information into GoldMine and other GoldMine related assistance as required. Provide broader operational support to the business assisting the Operations Executive.


Responsibilities:

• Ensure Policy Admin Inbox is reviewed, organised via categories/subfolders and actioned daily. Escalate any problems or queries to Gemma Davidson;
• Efficiently and accurately enter policy information from Policy Admin Inbox being careful to check any additional instructions (and other data as required) onto GoldMine and, generate required documentation;
• Check all data entered for inaccuracies and follow appropriate process to amend as required;
• Set up NCB/LCB/Profit Share (No Claims Bonus/Low Claim Bonus) entry on GoldMine and schedule a 'Next Action' reminder for Account Broker, 4 months after Policy Expiry date.
• Update GoldMine accordingly once Client Policy Termination Form received into Policy Admin inbox.
• Run monthly outstanding renewals lists, checking Policy Admin inbox for policies awaiting processing. Check 'Ren Note' field on GoldMine for further info if required and update prior to circulating outstanding renewals lists to Team Heads;
• Run daily SQL Query checks and MI reports to check for errors & omissions;
• Assist Compliance with the upload of Introducer Agreement information to GoldMine;
• Provide broader operational support to the business as/when required;
• Support transformational projects including acquisitions, in conjunction with M&A team; assisting Operations producing correspondence to external stakeholders on behalf of the seller and Xenia in accordance with Xenia Compliance;
• Assist Xenia Operations and external parties with data migration to GoldMine in acquisitions;
• Assist with document management across the group whether in or outside of a system and maintaining document templates to regulatory standards (signed off by Xenia Compliance/Board Director);
• Ensuring that the business use the correct document templates;
• Provide support on GoldMine by working with different business areas and functions;
• Ensure that Xenia Brand and code of conduct is adhered to at all times both within the workplace or at other external events;
• Adhere to Xenia policies;
• Refer any matter beyond the level of an individual's experience or authority to their line manager or other designated person;
• Complete a minimum of 15 hours of continuous professional development annually.

The Data Processor will ideally be educated to A'Levels with strong performance in English and Mathematics or three years' experience.

• IT literate with strong knowledge of Word, Excel, PowerPoint and Outlook.
• Experience using a CRM system is useful.
• Experience of insurance, in particular Trade Credit Insurance desirable but, not essential.
• 12 to 18 months data processor experience required.

Up to £26,000.00 per year
