As a
Events Coordinator, you will play a pivotal role in this
events team, working closely to deliver a diverse range of high-quality
conferences that leave lasting impressions on the very valued members.

Your expertise will be instrumental in providing end-to-end support to exhibitors, from the initial point of contact to post-event feedback.


What you will be doing:


You will understand the unique needs and preferences of the diverse audiences, identifying potential exhibitors and sponsors for each
conference, and collaborating with the Head of Partnerships for review.


Be the Communicator:

Reach out to past and potential exhibitors and sponsors, providing them with all the essential details about upcoming
events.


Be the Organiser:
Efficiently manage exhibition and sponsorship bookings using DocuSign and keep contact records meticulously up-to-date on our CRM system.

Work very closely with exhibitors and sponsors with vital information to maximise their
conference experience, including logistics, accommodation details, promotional toolkits, and updates on the audience profile and program.

Ensure exhibitors provide essential materials such as logos, photos, profiles, and session descriptions by agreed deadlines for timely publication across various platforms, liaising with the Communications team when needed.

Liaise with relevant contacts, including venues, A/V providers, and the wider conference team, to fulfill any additional exhibitor needs seamlessly.

Manage exhibition floor plans and keep a keen eye on the status of exhibition bookings.

Cultivate strong relationships with exhibitors and sponsors in the lead-up to the event, while overseeing exhibition set-up before the big day.

Become the key point of contact for exhibitors and sponsors during the event to ensure everything runs smoothly.
Collect valuable feedback from exhibitors and sponsors through post-event questionnaires and share your findings during each post-
conference review.
Offer assistance with communication to
conference delegates when required, handling joining instructions and creating delegate questionnaires.
Provide cover and support the team with other tasks during busy periods, showcasing your adaptability and versatility.

You are proficient in Microsoft Office and open to learning new business systems as needed.
You can prioritise tasks efficiently across the
conference portfolio, excelling in meeting tight deadlines.
You showcase excellent analytical and problem-solving abilities.
