Job Title:
Reception Supervisor


Responsible to:
Practice Manager


Responsible for:
Receptionists


Hours per week - 30 hours per week. Monday-Friday 12.30pm-18.30pm


Job Purpose:


To be responsible for the day to day supervision and management of all reception staff and associated functions, ensuring all are carried out in accordance with agreed procedures, protocols and times-scales.


Duties and Responsibilities
To prepare the weekly reception rota, ensuring adequate cover at all times.

To liaise with the practice manager on the authorisation of annual leave and other leave requests.

To be prepared to provide cover personally when short of staff.

To monitor the timekeeping of staff and ensure that contracted hours are adhered to.

To ensure that staff carry out the duties and tasks to which they are allocated on the rota.

To monitor the workload of the receptionists and prioritise and allocate as appropriate.

To ensure that workload is divided equitably around the team.

To enable periodic audits of workflow - number of calls answered, items scanned, tasks completed etc


To put in place a handover system at the end of each shift to ensure that tasks are not left undone and that all papers have been cleared, filed appropriately and leaving the area clean and tidy before the next shift.

To actively participate in the recruitment of new reception staff.

To oversee the induction and training of new reception staff.

To identify training needs and ensure that all are trained in all appropriate tasks.

To ensure that all mandatory training is completed and is kept up-to-date.


To be the first point of contact for receptionists with patient queries, system faults and any other issues that may arise.

To be the first point of contact for any computer/printer/telephone faults, liaising with practice manager for escalation as needed.


To be the first point of contact for informal patient complaints about reception staff, liaising with practice manager where escalation is needed.

Any other duties commensurate with role and position.

General Practice experience essential.
