Oxford Sixth Form College are looking to recruit a Reception Administrator on a part-time, permanent contract.
We are looking for someone with excellent organisational, communication and interpersonal skills, with the ability to communicate effectively with people at all levels.
Hours of work are 1:00pm - 5:30pm Monday to Friday during term time.
Start date:
August 2024.
Job Description - Reception Administrator
Reports to:
Assistant Principal
Liaises with:
Principal, Vice Principal, Director of Admissions, Senior Management Team, Senior Tutors, Teachers
Line Manages:
There are no line management responsibilities with this position.
Job Purpose:
You will be expected to contribute to an outstanding learning environment with an aspirational culture throughout the college.
Main Duties
- Follow Safeguarding and Visitors policy at all times, ensuring all visitors are correctly signed in and advised; issue visitor lanyards and the Health and Safety and Safeguarding instruction booklet and liaise with staff to ensure safeguarding requirements are met.
- Be the first point of contact for anyone entering/calling the College.
- Politely and warmly deal with staff, students and visitors who call into reception throughout the day with general enquiries.
- Take, record and distribute telephone enquiries and messages.
- Assist with incoming and outgoing post.
- Keep the reception area tidy and organized at all times.
- Assist with completion of administrative tasks as directed by line manager.
- Provide support for trip/visit leaders to help complete risk assessments in line with our policy.
- Maintain the college trips log, with copies of all Risk Assessments and accompanying documentation.
- Assist with various reports and forms distributed from reception.
- Assume the role of Fire Coordinator during an emergency evacuation.
- Log and distribute keys and other equipment as required.
- Provide academic administration support as directed by line manager.
- Input data and follow up enquiries for Admissions are examples of some of the administrative tasks that will be required.
- Support the Principal, Vice Principal and senior management team.
- Maintain the reception area and notice boards to ensure they remain tidy, welcoming, and informative.
- Take an active role in student induction programmes.
- Ordering supplies for Teachers and admin staff
- Touring potential students and agents
- Assist the finance department with bank statements from the company credit card.
- Support with recording student's attendance.
Quality Assurance and Improvement
- To assist in the review and improvement of the role of reception and administrative tasks within the college.
- To contribute to successful external inspections (e.g. ISI, OFSTED, UKVI).
Student Experience
- To communicate effectively with the students by being friendly and approachable and directing them to the most suitable member of staff to provide assistance when needed.
Additional Duties
- Actively promote and market the College and present a positive image of the College and its activities both within and outside the College environment.
- To carry out any duties, at all times, in accordance with the College's policies including Health and Safety, Child Protection and Safeguarding.
- To ensure that you are clear about your responsibilities and accountabilities and how they align to college strategies.
- To be aware of relevant national initiatives and themes in the education world, such as Anti Radicalization, Equality and Diversity and Safeguarding and then implement according to College Policies.
- To attend whole College meetings and other operational meetings as needed.
- To undertake any other responsibilities commensurate with the grade of the post, which the Principal or their senior management representative may from time to time require.
Person Specification
Essential
- GCSE Maths and English or equivalent
- Experience of working in a busy and diverse environment
- Excellent customer service skills
- Excellent communication stills
- Computer skills and experience working with Outlook
- Administrative skills
- Good time management and organizational skills
Desirable
- Further qualifications relevant to this role
- Experience working in the Education sector
- Experience working with Databases, ISAMS, CPOMS, Outlook, Onedrive, Teams
