Job Summary:

To manage the administrative procedures within the home as directed by the Home Manager. You'll provide an efficient and confidential administration service for our home.


The role:


Administration

  • To be accountable for the home's administrative procedures and to ensure all administrative duties are carried out in accordance with the established procedures.
  • To ensure that all residents/visitors are welcomed into the home, visitor book is completed, appropriate person notified of their arrival.
  • To answer the telephone promptly and deal with enquires in an accommodating, respectful and caring manner. Ensuring that confidentiality is always maintained regarding staff, residents and clients.
  • To ensure that the reception area is kept tidy and welcoming to create a firstclass impression.
  • Maintain electronic and hard copy employee personnel files and information in accordance with company procedures including, sickness, holiday records and training records.

Identify any cases of high sickness levels in reference to the company's relevantpolicies and procedures and refer to the home manager promptly.


  • Produce good quality professional correspondence, documents and newsletters as required.
  • Maintain stationary stock control and order other supplies as required.
  • Assist the home manager with the preparation of weekly and monthly KPI and quality reports as requested by the Regional/Operations Director.
  • Maintain and update NMDS database.
  • Prepare contracts for residents, promptly processing admissions and discharge forms.
  • Organise staff meetings and prepare minutes as necessary.

Recruitment

  • Ensure that all preemployment checks are undertaken and that all prospective employees are fit to work in accordance with CQC regulations and company policy. Refer any unsatisfactory checks to the home manager.
  • To assist the Home Manager with the recruitment of staff using the company's Applicant Tracking System.
  • Prepare new starter personnel files including conducting preemployment checks including referencing, DBS and issuing of terms and conditions of employment in accordance with the company's current policies and procedures.

Financial Duties

  • Manage petty cash and prepare requests from head office.
  • Check invoices and prepare for head office.
  • Banking or sending cheques and invoices to the appropriate accounts team.
  • Prepare recharges for accounts team.
  • Liaise with payroll with starters and leaver information.
  • Processing of payroll and T&A system.

Health and safety

  • Cooperate with the employer to ensure compliance with health and safety legislation and the health and safety policies and procedures of the home, not intentionally or recklessly interfere with, or misuse, anything provided in the interests of health,safety or welfare, in pursuance of the relevant statutory provisions.
