Job Overview:
To provide efficient administrative and secretarial support to the home.
To form and maintain, open and constructive relationships with all partied involved in the life of the home: including staff, volunteers, statutory service professionals and other.

Role Specific Duties:
To ensure the reception area creates a positive first-class impression that is tidy, welcoming and clean with up-to-date information.
Ensure the visitors book is completed and the appropriate person is notified of their arrival.
Answer the telephone and greet callers to the Home in accordance with the agreed telephone answering policy. Meet and greet visitors to the Hoe and establish identity in accordance with the home's security systems.
To ensure all correspondence received is date stamped and receives prompt attention.
Provide an administrative service to the home which includes word processing, taking minutes of meeting and establishing an effective filing system.
Maintain accurate records, produce basic reports, accurately completes forms invoices, and monthly financial returns as delegated by the Home Manager.
Respond to requests for information about resident vacancies and assist in administrative procedures relating to admissions of permanent and short-stay residents.
Type letters and maintain filing system for the Home Manager.
Work with Head of Communication & Fundraising Manager to ensure information on the website is kept up to date and to deal with website enquires.
Reproduce, staple, collate and maintain adequate stocks of forms, booklets and other documents held at the home. Liaise with external providers to obtain other forms, booklets or documents when required.
After receiving appropriate authorisation when necessary, the cost-effective ordering and purchasing of goods and services.
General
For locally managed recruitment vacancies, send our recruitment literature to applicants and passing them onto the HR department for processing in accordance with the Employee Policies & Procedures.
Order uniforms and badges where they are in use.
Ensure all new starters and leaver biometric data are added and deleted in accordance with the General Data Protection Regulation.

Effectively interface with employees from other departments.

To undertake other duties that may be required that are commensurate with the level and responsibilities of the post.

Attend statutory training and any other training as directed by the management.

Maintain good relationships with other multi-professionals visiting the home.
Experience of working with a range of partner organisations.
Evidence of continuous professional development.
To comply with all statutory requirements and legislation i.e., Health and Safety, COSHH, Moving and Handling, Fire Safety, Environmental Health etc.
