Front of House Patient Service Assistant

Bright Orthodontics is a new state-of-the-art NHS/Private family owned group of specialist orthodontic practice.


Due to staff relocation, we have an exciting opportunity for an enthusiastic Receptionist/Patient Services Assistant to join our Warrington practice located at Birchwood Shopping Centre.

You will assist the team to achieve our ambition of building an environment where all our patients benefit from the best possible ethical, private and NHS orthodontic care.


Warrington has three surgeries with a fully digital workflow including iTero scanner, Digital X-rays providing NHS & Private orthodontic care using a wide range of appliances and techniques.

This role may include cross-cover between practice locations.

Critical skills required for this role:

  • The role will demand high standards and attention to detail in all areas, including recording details on patient management software, CRM and other software/data forms and all aspects of patient communication.
  • Excellent spoken and written communication skills
  • Experience of working in a fastpaced, customerfocused environment managing a busy reception desk.
  • Ability to remain calm always and manage potentially challenging situations confidently
  • Excellent computer/IT skills and ability to multitasking are essential
  • A flexible mindset with willingness to learn and take instructions, reliability, and adaptability to new and changing ways of working.

Key tasks and responsibilities:


  • Assisting patients with booking appointments and making payments.
  • Welcoming patients to the Practice and ensuring a comfortable and relaxed environment is maintained.
  • Handle all treatment documents and general administrative tasks associated with a busy reception desk.
  • Effectively manage the appointment book—schedule patient appointments on patient management software.
  • Help the patient to organise finances.
  • Managing patients referred into the Practice for treatment by their GDP and liaising with referral practices as required to help the progress of the patient journey.
  • Comfort patients by anticipating patients' anxieties, answering patients' queries in a calm and empathetic manner and being great at building rapport.
  • Liaise closely with clinicians and other staff and work with the broader team to effectively manage daily patient flow, providing communication and information to the appropriate individuals
  • Develop a strong working relationship with the Orthodontists and promote teamwork through cooperative, respectful, friendly, and professional behaviours
  • Maintain the patient records with attention to detail to ensure they are completed correctly and handled per GDPR
  • Actively participate in training programs both inpractice and online to learn and progress.
  • Capture patient testimonials
  • Monitor new patient sources
  • Utilise social media platforms to reach out to patients and broaden practice exposure. Proactively market the services of the Practice.
  • Ensure smooth running of the Practice
  • Deal appropriately and promptly with patient feedback and inform the practice manager about patient comments and concerns.
  • Assist in all clerical and administrative duties and any other tasks that the principal reasonably requests
  • To bring to the attention of the principal or practice manager any concerns about aspects of the Practice, its performance, or the performance of others in the Practice.
  • Be responsible for front desk accounts.
  • Monitor and maintain relevant systems to provide regular management reports.

Beneficial but not necessary Experience:


  • Previous Dental/Orthodontic/GP experience in either as a nurse or receptionist rol
