Reference No Job Title- Business Support Coordinator - East Hendred, Oxfordshire- Type- Fixed Term Contract- Salary Range- Competitive- Division- Residential- Sub Division- Business Services- Department- Rural Asset Management Bishops Stortford Location- East HendredKnight Frank are looking to hire an Operations Coordinator to support the Rural Consultancy Team on a 1 Year Fixed Term.

Based in our East Hendred, Oxfordshire office.

The role covers support to the wider Rural Consultancy business nationally and will include travel to other Knight Frank offices and client properties.


Responsibilities

Team

  • Diary management including but not limited to travel bookings


  • Property Management System

  • Licences and tenancy agreements (DocuSign), upload expense invoices, maintenance tasks/small works orders for contractors, queries from tenants and contractors, contractor insurance and onboarding
  • Inhouse contact management system, instructions, referrals, Client Due Diligence
  • Sales Invoicing
  • Time recording new jobs, timesheets
  • Filing (digital) new job folders
  • Digital dictation
  • Assisting with the recording of farm and estate information onto the property management system
  • Overflow team administration, preparing agendas, reports, minutes, Terms of Business, report proofing/formatting.
  • Create CV's, business cards using Drag and Drop
  • F:drive organisation and maintenance
  • Order office supplies

HSE and Information Security

  • Ensure clear desk & clear screen policies are followed
  • Follow storage & archive protocols
  • Ensure all H&S documents are uploaded onto Riskwise, weekly/monthly logging of inspections
  • Environmental champion
  • General Data Protection Regulation (GDPR) and Information Security champion


  • Fire Marshall

  • Training provided

Particular Aptitudes/Skills Required

  • 2 years+ experience in a similar operations, administration or secretarial role
  • Proficient with Microsoft office packages
  • Flexibility, adaptability and a cooperative attitude
  • Calm under pressure
  • Excellent standard of English grammar and spelling
  • Diligent and efficient
  • Strong attention to detail
  • Selfmotivated
  • Team player
