PURPOSE OF POST

All staff are expected to:

  • Work to develop their abilities in line with Fairpark Care Competency Framework.
  • Recognise the positive abilities of people with Learning disability and support our shared belief in lifelong learning.
  • Adhere to the Fairpark care Code of Conduct and Care INspectroate Wales (C.I.W) regulatory expectations, showing a high degree of professionalism, resilience, and a willingness to remain committed during particularly demanding times.
  • Undertake an enhanced DBS check.

Key Objectives:

  • With a primary responsibility of supporting the Registered Manager and Directors, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
  • Maintain and refine internal processes that support the leadership and management company-wide, coordinating internal and external resources to expedite workflow.
  • Manage communication workflow throughout all tiers of the organisation, and to act as a point of liaison both internally and externally on various prescribed projects and tasks.
  • Plan and orchestrate work to ensure the organisational priorities are met, and goals are achieved, whilst adhering to best practices.
  • Lead on customer service/s as the initial point of contact for the service / organisation.

Main Duties Responsibilities:

  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to the senior management team.
  • Manage the financial governance processes demonstrating robust, safe and effective processes for the management of expenditure and financial accountancy.
  • Perform administrative and office support, such as word processing, dictation, letter writing, database and spreadsheet upkeep, and records management in line with Data Protection and GDPR.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with and on behalf of the business.
  • Organise team communications and plan events, both internally and externally.
  • Responsible for managing safe and effective recruitment and workforce deployment (including rota management) on behalf of the Registered Manager who is accountable for such processes.
  • Support all internal governance processes to assist in service delivery.

Skills and Qualifications:

  • Experience in administrative roles with experience of direct reporting lines to senior personnel.
  • Strong written and verbal communication skills.
  • Strong time-management skills and the ability to organise and coordinate multiple projects at once.
  • Proficiency in Microsoft Office and other office tools, with aptitude to learn new software and systems.
  • Flexible, team player,with a 'can do' attitude, to be efficient and effective in role.
  • Adaptable to different works scenarios and enjoys a challenge.
  • Ability to operate and maintain company confidences.
  • Experience overseeing budgets and expenses.
  • Experience operating internal processes for records management.
  • Strong customer facing skills.
  • Experience working within a team.
Qualifications;

  • Desirable to have business administration qualifications (QCF 2 / 3 / 4 or equivalent).

£21,320.00-£24,024.00 per year
