Administrative Assistant
Grade C (£22,197-23,149 per annum FTE), Newcastle (City Centre)


Part time: 30 hours per week spread flexibly and as required over a period of up to five days but including a Thursday evening 6 times per year (during term time).


Introduction

What you will do:


  • Be the main point of contact for the SU Council working with them to plan and organise the Council meetings which take place 6 times a year as well as other related meetings.
  • Book meeting venues and additional equipment as needed, request documents for submission by officers (by due deadlines), draft the agenda, preparing and distribute all documentation (motions and reports) and attend the meetings to take details minutes.
  • Coordinate and administer meetings involving trustees, colleagues, and departmental managers including Freshers Week Working Group, the Alcohol & Drug Working Group, Steering Committee/General Meetings/AGM, Students' Union Council
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a database and electronic filing system
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Plan meetings and take detailed minutes
  • Book travel arrangements
  • Provide general support to visitors and students
  • Liaise with CEO and Administrative Coordinator to handle requests and queries from senior managers
  • Prepare presentations, spreadsheets and reports

Who we are looking for:


  • Experienced administrator with strong organisation and minute taking skills
  • Educational qualifications that demonstrate proficiency in English Language plus experience in a similar administrative role
  • Somebody who enjoys both the certainty of a repeated processes and dealing with the variety of daytoday operations
  • The written and oral communication skills necessary to initiate and respond to correspondence, to make notes and minutes of meetings and to deal with other forms of communication
  • The interpersonal skills necessary to sustain effective relationships on behalf of the organisation with external bodies and with its trustees
  • The ability to work accurately with detailed information and to ensure that practical tasks are effectively implemented
  • Eliterate and competent in developing, administering, and using PC/laptop and associated networks and systems to acquire, manipulate and disseminate information
  • An enthusiasm for supporting students and interest in further education
  • Passion for teamwork, innovation and open communication

Newcastle University Student Union (NUSU) is a charity that ensures students have a voice within the university.

Our sabbatical Officers sit on university committees to represent the students so whilst we work really closely with the University but are a separate Organization.

This is important for loads of reasons but mainly it means that if students have a problem in uni they can come and talk to us and we will help resolve it.
