The Role


The main purpose of this role is to provide a high level of secretarial and administrative support to the CEO and the management team of the Organisation.

If possible, we would also like this person to be responsible for managing the Cambridge Office and providing a professional welcome to our occasional visitors from US Corporations.


Key Responsibilities

  • To provide secretarial/administrative support to the CEO and management team
  • Detailed and accurate preparation and circulation of Board packs and the taking/distribution of Board minutes (this takes approximately 1 week per month)
  • Working with the other Board members and external organisations on behalf of the CEO
  • Attendance at key partner and steering group meetings (usually remotely) to take minutes and follow up on actions
  • Organisation of meetings, interviews and larger company events
  • Management of the Cambridge Office which may include such activities as: overseeing the cleaning contract, ordering supplies and health and safety management

Person Specification

Essential skills and experience

  • Ideally +5 years as a senior level EA or secretary
  • Experienced in attending Board and/or management meetings and taking accurate minutes
  • The ability to help prepare and edit highquality written documents and board minutes
  • Fast touch typing for competent and accurate minute taking
  • A high degree of attention to detail and ability to thoroughly check for typing errors in documents
  • Confident when dealing with Board members, legal advisers and partner organisations (customers) in a professional and courteous manner
  • Advanced level MS Word/Power point skills
  • Able to set up meetings in person and remotely for both UK participants and those overseas
  • Motivation to drive improvements in process, policies and procedure. An ability to anticipate requirements and a willingness to suggest new ideas and improvements.
  • Extremely well organised, task focussed and a completerfinisher
  • An ability to work within a rapidly changing environment, cope with many ongoing threads of work and be able to prioritise and reprioritize as required to ensure their successful and timely resolution
  • A flexible, enthusiastic and collaborative approach
  • An interest in helping to make the office an efficient, wellorganised and desirable place to work.

Desirable

  • Experience using Google Docs
  • Experience in a law firm or professional services business as a legal secretary or assistant would be advantageous
  • Experience of dealing with US tech corporations in different time zones would be beneficial as well as continental Europe

Salary and Benefits

  • Salary of £3040k per annum although there may be some flexibility for experience
  • Hybrid working by agreement with a minimum of 3 days (Monday to Wednesday) in the office
