Hours:39 hours per week, Monday to Thursday 08:30 to 17.00, Friday 08:30 to 16.00.

Aberdeen Branch
The Branch is located in Wellheads Ind Est ,Dyce.

The branch consists of a team of 8 employees, made up mainly of refrigeration engineers and supported by one Service Controller.


The Role


The Trainee Branch Administrator will provide administrative support to the branch whilst working closely alongside the Service Controller to help us meet our business objectives.

The duties within the role are broad and include a range of responsibilities, which include but not limited to;

Key Duties
- _Provide a high standard of administrative support to the branch_
- _Maintain a positive company image when dealing with customers by phone or in person_
- _Gain knowledge of company processes and procedures_


Financial
- _Accurate input of labour and material costs to IFS_
- _Raise and receipt purchase orders in IFS_
- _Awareness of invoice processing_
- _Scan and assemble supporting documentation_


Customers
- _Answer calls in a professional manner and direct appropriately_
- _Welcome visitors to company premises_


Technology
- _Use of IFS system_
- _Increase knowledge of IFS processes_
- _Identify scope for improvement opportunities_


People and Processes
- _Maintain paper/electronic filing systems_
- _Deal with incoming and outgoing mail_
- _Develop understanding of company documentation_
- _Understanding of Star administration procedures_

The role is suited to an individual who is motivated, confident and willing to learn.

  • Proficient computer and Microsoft Office skills

  • The ability to take initiative
  • Good time management skills
  • Excellent interpersonal skills
