Finance Coordinator

Standard Office Hours:
including 1-hour for lunch (unpaid)

Occasional evening, overnight and weekend work for the delivery of key work-related tasks

Abingdon, Oxfordshire. Remote working considered.

Occasional UK-wide travel as required to meet company requirements, attend team/company meetings, and support delivery of service.

The role requires contact with all Outlook staff, including freelance staff and suppliers. Also external financial partners, such as banking, accounting platforms, and auditors.

Remuneration:
£25,000 per annum, pro rata

Holidays: 4 weeks plus public holidays, pro rata

Additional benefits: 10 days Christmas closedown (at the Directors' discretion), travel opportunities, learning and development opportunities. Flexitime and working from home.

For the role of Finance Coordinator at Outlook, we're looking for an individual with keen financial management/administration ability, and strong organisation skills.


The role involves working closely with other departments at Outlook to ensure income and expenditure is actioned and recorded appropriately, company finances are managed efficiently, and timely management information packs are prepared for the Board.

Experience in the travel sector will be beneficial.


Key Responsibilities and Accountabilities

  • Complete weekly ATOL reports for management and trustees.
  • Manage the efficient payment of invoices, expenses and refunds, alongside accurate processing and administration of these in Xero and reconciliation to the bank. To always ensure the security and confidentiality of customer and company data.
  • Schedule payroll, and manage HMRC payments and pension contributions.
  • Produce monthly management accounts and cashflow pack.
  • Complete quarterly VAT returns via MTD in Xero.
  • Work with the Managing Director to update annual depreciation journals, budgets, income, Year-end and online accounts.
  • Oversee allocation, uploading, and reporting of travel expenses cards.
  • Manage overseas supplier payments and cashflow.
  • Assist with the running and management of the Operations Room and crisis management system during the expedition delivery period, as required. Please note that this may include occasional unsociable hours.

Other

  • Respond to all communications in a timely manner. All written communication needs to be of the highest standards.
  • Ensure accurate record keeping of the highest standard in relation to company finances.
  • Arrange and co-ordinate all tasks and targets allocated. Attend all meetings and networking events to actively promote the products and services of the company, as required. Actively and positively contribute to meetings and report all essential financial information and key performance indicators as required by your line manager.
  • Proactively identify areas for development and improvement and suggest solutions to problems, to help meet company aims.
  • Carry out all work in accordance with Outlook's policies and procedures, paying particular attention to Equal Opportunities and Health and Safety at Work.
  • Undertake other tasks as reasonably required in order to meet the varying demands of the business. This may involve weekend and evening work.
  • Work alongside and support colleagues of the Outlook team to administer and prioritise workload. Stand in for colleagues in the team when necessary. Fully brief colleagues
(internal or external) who may be required to carry out tasks on your behalf.


  • Use the equipment and software provided to manage and record processes, tasks, and availability, in line with business needs and the company's data protection policy. Record key contact with stakeholders using the CRM software.
