About Us:
We are an established Renewable, Mechanical & Electrical Contractor, based in Poole, Dorset.
As a business we offer companies a complete 'one stop shop' service from the initial design concept of a project to the full R, M&E installation across multiple sectors within the construction industry.
About the role:
We are seeking a dynamic individual to join our administrative team.
To be successful, you will need to be able to think logically and follow processes, work effectively and efficiently in a calm and very organised manner, and be able to prioritise your workload appropriately to meet deadlines.
Be confident with a range of IT Software. A full induction and specific industry training will be given.Tasks will include but not limited to;
- Assisting Contract Managers with all project related administration.
- Working with the inhouse design team to assist bringing projects from preconstruction to construction stage.
- Project procurement which involves obtaining quotes from suppliers and placing purchase orders for all our R,M&E projects.
- To prepare Sub-Contract orders to specialist suppliers and material call offs.
- Site set up's (Welfare facilities, Machinery and Plant).
- Material Returns from sites back to the suppliers including accounting queries.
- Creating Site files, H&S files, risk assessments and method statements.
- Producing and continuously updating O&M manuals ensuring certificates are registered with appropriate authority.
- Assist with preparation for monthly financial review meetings.
- Taking minutes of meetings.
- General administrative and office duties. Screening phone calls, enquiries & requests, and handling them in an appropriate manner.
- Help in providing reception & telephone cover during absences (holiday, sickness, lunch etc).
- General administration duties including typing, photocopying, folding of drawings, filing, archiving etc.
Requirements:
- At least 2 years' experience in an administrative role.
- Excellent transferable skills which must include a high level of numeracy, accuracy & communication.
- Strong IT skills, including Word and Excel.
- Industry experience would be beneficial but not essential.
