We are looking for an administrator with good organisational skills to join our administration team.


You will be an excellent communicator as you will be the first point of contact for people attending the day service.

This post will be based in the new Eating Disorders Day Services Unit at the Maudsley Hospital.

You will provide a high quality administrative and Housekeeping support to the multi-professional team.

To assist the Business Manager to co-ordinate the day to day administrative resources for Day Services team.


You will be expected to maintain and collate information onto our Electronic Patient Journey System ( our patient notes system).

To support Day Services in IT related matters.

Provide secretarial support for members of the MDT and Senior Consultants.

To work with pre-existing and to implement new admin structures alongside the Business Manager.

To ensure that careful consideration to sensitive information is adhered to all times.

The post holder will work as an integral part of the Day Services team.

They will be responsible for the co-ordination of all patient facilities services in the area and ensuring a clean, safe and comfortable environment.

This is a busy and varied role and requires a proactive attitude.

The post holder will be required to work closely with contractors and support service departments. They will monitor quality standards, report deficiencies and ensure requested work is completed.


South London and Maudsley NHS Foundation Trust(SLaM) provide the widest range of NHS mental health services in the UK as well as substance misuse services for people who are addicted to drugs and alcohol.

We work closely with the Institute of Psychiatry, Psychology and Neuroscience (IoPPN), King's College London and are part of King's Health Partners Academic Health Sciences Centre.

Our scope is unique because it is built on three major foundations:
care and treatment, science and research, and training.

SLaM employ around 5000 staff and serve a local population of 1.1 million people. We have more than 230 services including inpatient wards, outpatient and community services.

Currently, provide inpatient care for approximately 5,300 people each year and treat more than 45,000 patients in the community in Croydon, Lambeth, Lewisham and Southwark; as well as substance misuse services for residents of Bexley, Bromley and Greenwich.

Administration:


  • Provide highly proficient secretarial and administrative support to the service and Senior Members of the MDT Team and EDU team members.
  • Day to day admin support for the service and assist with the development of administrative processes.
  • Support the service wide administrative cover arrangements.

Estates and Facilities:


  • To manage the work requisition log ensuring all defects are logged, reported, recorded and closed down as appropriate.
  • To respect the privacy and dignity of patients whilst carrying out housekeeping duties.
  • Organise the storage of patient's property including contacting patients about property left behind. Be responsible for keeping the store cupboard tidy.
  • To maintain the environment via Planet FM and follow up any outstanding issues in conjunction with the Business Manager.
Carry out Quality Audits in all areas of the Day Service Department reporting directly back to the domestic supervisor.

  • To ensure spillages are dealt with swiftly and efficiently.
  • To ensure the Department is safe and tidy at all times e.g. remove clutter, tidy notice boards and remove any old information.

Communication:


  • To receive, welcome and guide visitors, liaising with other staff as appropriate.
  • To respond to requests for general information about Eating Disorders Services.
  • To receive and pass on information to other health professionals, while maintaining confidentiality.
  • To assist with training of staff involved with ward housekeeping services into routines to achieve required standards.
  • To be aware of any new food hygiene standards
  • To ensure meeting rooms are clean and tidy prior to use.
  • To Prepare refreshments for meetings as required.
  • To deliver a high standard of customer care that is representative of the service and the overall trust's objectives.
Catering/ mealtime support.

  • To ensure the daily menu is displayed correctly.
  • Assist patients in ordering food and where necessary taking into account special needs and dietary requirements.
  • To support the hostess in the meal service in conjunction with the nursing team, ensuring patient's dietary needs are met.
