A market leading organisation are looking to recruit for a new Executive Assistant to support the CEO, providing all-round PA support and acting as a trusted ambassador within the organisation and an integral part of the Executive team as the business grows and develops to new heights within the industry.

This is an incredible opportunity for an individual with C-Suite level experience to take on a new challenge, working alongside a successful and determined CEO.

You will be providing high quality, confidential and efficient PA services to the CEO and Board of Directors.

This is a full time, permanent role with some level of flexibility once you have passed the probation period.


What you will be doing:

  • Provide administrative support to the CEO and assistance as necessary to the Board and Senior Management PA.
  • To act as the initial point of contact for the CEO (in his absence), assessing priorities and redirecting calls, enquiries, and requests, as necessary.
  • Facilitating arrangements for meetings, including managing room bookings, venues, catering, room preparation and compiling and disseminating agenda and papers.
  • Minuting meetings when required and being responsible for the timely circulation of Minutes and Action Logs.
  • Meeting and greeting visitors and managing post, incoming calls, and enquiries.
  • Management of relationships with office related suppliers and contractors and facilities management for the office.
  • Overseeing and maintaining an appropriate level of office supplies with minimum stock levels whilst meeting staff requirements.
  • Reconciling company credit card purchases, responsible for the petty cash and office management budgeting
  • Assist with Invoicing, purchase orders and the proactive and timely submission of expenses.
  • Coordinate travel arrangements including domestic and oversea travel, preparing itineraries and travel packs prior to departure.
  • Implement and maintain electronic and paper filing systems.
  • Planning and organisation of company events from start to finish, including invites, marketing, setup, hosting, and followup etc.
  • Assist with project management of future office move.
  • Assist with HR related matters, liaising with HR Advisor and maintaining HR records.
  • Assist with managing the marketing function; liaising with marketing partners as the key contact and assisting where possible, helping to project manage adhoc tasks and overseeing the process for the Social Media calendar.
  • Project Management for CEO carrying out background research and presenting findings; end to end projects with full ownership.

Essential Requirements:

  • To work without direct supervision and on your own initiative, taking full ownership of issues in the CEO's absence and being proactive when dealing with enquiries and creating solutions.
  • Ability to manage complex diaries.
  • Utilising SharePoint to maximum effect to store all correspondence and documents.
  • Embrace and absorb new information and use results effectively.
  • Educated to degree level or similar.
  • Excellent administrative skills and good IT skills, including Microsoft Office packages; Word, PowerPoint, Excel, and Outlook.
  • The ability to handle multiple tasks simultaneously, often working under pressure and to tight deadlines.
  • Excellent attention to detail.
  • Familiarity of all office equipment telephone system, photocopiers, and printers essential
  • Professional, sensitive, and flexible approach to working with a wide range of people.
  • Ability to collaborate effectively and to ensure delivery of mutual objectives.
  • Loyal, confidential, and discreet.
  • Flexible, adaptable, and calm approach.
  • Confidence to build positive relationships with a wide range of stakeholders both internally and externally.
  • Ability to adapt style of communication and approach.

Desirable:

  • To be commercially aware and possess the drive to develop an understanding of Data Centres, Virtual Platforms and Cloud based hosting platforms, Citrix, and the world of VDI
