Acorn by Synergie is recruiting on behalf of their Public Sector client based in the Swansea area, for an Estates Officer.

The main purposes of this role is to support the National Estates Manager and Environmental Specialist in the development and monitoring of estates information.

You will ensure all relevant data/surveys, contracts, reports, leases, licenses, drawings, and otherlegal documents comprising property condition surveys, are up to date and available within a database, to inform the ongoing development of the Trust's estates strategy, maintenance strategy, programmes of work and facilities management services.

You will also be required to set up and maintain Asbestos Management procedures to ensure the Trust discharges its statutory obligations towards Control of Asbestos at Work Regulations.


Role responsibilities:

  • Undertake surveys/inspections of Trust buildings to appraise the condition of fixtures, fittings and equipment, organise and collate all relevant technical data and prepare data for input into the database.
  • Analyse the condition of building fixtures, fittings and equipment using algorithmic risk assessment and categorise the condition into risk categories.
  • Receive reports/surveys/documents from a variety of sources including Regional Estates Managers, Health & Safety Officers and Welsh Health Estates, analyse actions, plan action dates and input into database ensuring effective follow up in future.
  • Set up and maintain a National Register for Asbestos.
  • Review and maintain the Asbestos Register. Assess material condition and site conditions and review algorithmic risk assessment accordingly. Make recommendations to Regional Estate Managers regarding the condition of Asbestos.
  • Set up and manage a database of estates information using Oakleaf (3i)' Estates Terrier, Maintenance Manager and Estates Manager, compile, update and review information to assist with estate planning. Information will include - strategic property information,property condition, material condition, equipment, fixtures and fittings, leases, licences, contractor details to aid estates planning and development.
  • Liaise with internal stakeholders including Operations, Regional Estates Managers and Health & Safety Managers throughout the Trust and prepare/distribute reports.
  • Ensure that Trust property information is maintained up to date and accessible to internal and external stakeholders through the development of the Estates Department intranet.
  • Seek feedback from internal and external sources on the Trust's property information, source and attend conferences/seminars, undertake appropriate training and revise and improve the database in the light of this feedback.
