To support the Venue Director and Director of Finance and Resource by providing a high level of pro
- active self-driven executive support across the breadth of their work.
This role sits at the heart of the organisation and gives the opportunity for broad view of how Factory International is run.
The responsibilities for the Executive Assistant role are:
- To develop a comprehensive understanding of the priorities of the Venue Director and Director of Finance & Resources in order to effectively manage, plan and coordinate the schedule, acting as a "gatekeeper" of the diary to ensure it is well managed
- Working closely and effectively with the VD/DoF&R, keeping them well informed of upcoming commitments and responsibilities, following up appropriately
- Liaising with key stakeholders and colleagues, and preparation for meetings and appointments, understanding objective and needs, and proactively preparing necessary research, notes or presentations on behalf of Directors
- Project administration for the Executive team and their workstreams
- Administrative responsibility for key meetings, including effective minute taking and management of actions from meetings
- Follow up of actions allocated to Directors
- Management of expense claims and VISA reconciliations
- To work in tandem with the Executive Support and Executive teams, contributing to the smooth running of the Executive Office and actively participating in improving ways of working
- Administrative support tasks as directed by Executive Support Manager, providing wider support to the Executive team as and when required
ESSENTIAL
- Experience in organisational, diary and time management in a PA, EA or equivalent role, working with senior executives in a fastpaced environment
- Ability to work confidently across a range of IT systems and to develop new skills in a changing IT environment
- Strong communication skills, both written and verbal with a variety of different people, and in a range of situations
- Proactive problemsolving and decisionmaking skills
- Commitment to championing representation and inclusion at every level of the organisation with a proven ability to work with people from a wide range of backgrounds
DESIRABLE
- Interest in art, culture, music, events
- Lived experience of a diverse range of cultures
- Enthusiasm for training, mentoring and support of emerging talent
