Hotcam is one of the UK's busiest TV & Film equipment rental companies, providing filming equipment, engineering, crew, logistics and technical support for some of the best-known television shows.

Facilitating TV productions is a fast paced, complex business and requires an extremely organised operation.


As a Logistics and Fleet Coordinator, you will be in charge of coordinating the movement and storage of Hotcam's assets, ensuring that they are delivered to or collected from the right location, on time and in the most efficient manner, whilst upholding Hotcam's ethos of providing a friendly and proactive client focused service.

You will work closely with suppliers, customers, and internal team members to ensure smooth operations and minimise any disruptions.

Additionally, you will be responsible for overseeing our fleet of vehicles, including coordinating maintenance, tracking fuel consumption, and ensuring that all necessary documentation is up to date.

The Logistics & Fleet Coordinator is an integral support to the kitroom management team.

The kitroom manager, technical projects manager and the logistics & fleet coordinator work together seamlessly to create the heart of the kitroom.

Working together, with distinguishable roles and responsibilities, to oversee the technical output on a day-to-day basis.


The main Duties and Responsibilities include, but are not limited to:

  • Coordinate the movement of goods and ensure timely deliveries and collections to customers
  • Manage the fleet of vehicles, including scheduling and coordinating maintenance and repairs
  • Coordinate company processes in relation to fleet insurance claims, parking and traffic penalties
  • Maintain accurate records of all fleetrelated documentation, such as insurance and registration
  • Monitor fuel consumption and ensure fuel cards are properly utilised
  • Collaborate with suppliers, customers, and internal teams to resolve any logistics or fleetrelated issues
  • Conduct regular audits of logistics and fleet operations to identify areas for improvement and advise on and coordinate necessary changes
  • Monitor inventory levels and coordinate with relevant teams to ensure stock availability to keep equipment "down time" at a minimum
  • Support the data entry process of new equipment assets being uploaded to the asset management system accurately with purchase order, purchase price, replacement value, etc details and add to the website with continuity of information across all software
  • To support the kitroom manager in coordinating the technical team and all elements associated with broadcast systems and projects including personnel and delegation of duties for technical projects
  • Assisting the kitroom manager and technical projects manager with coordinating quality control checks on incoming and outgoing equipment
  • Oversee the "Cross Hire" checks process, ensuring processes are followed and all cross hired equipment is accounted for, checked, and returned to suppliers efficiently

Requirements:


  • Strong analytical skills and attention to detail
  • Excellent organisational and time management skills
  • Ability to work well under pressure and prioritise tasks effectively
  • Strong communication and interpersonal skills

Desirable:


  • Experience in utilising logistics management and fleet tracking software
  • Knowledge and previous experience of the broadcast equipment industry
