Description

The Operations Administrator is in charge of timely supply of products to the customer working in close contact with the customer and all plant functions.

They are a key stakeholder in ensuring customer satisfaction while operating in a most efficient way.


They are responsible for production planning, material management and materials and produced goods storage, managing and supervising preform and bottle regrind and spare parts procurement and stock control.

Key tasks & Activities

Planning

  • Accountable for delivering the overall production plans according to the customer's daily demands and forecast
  • Ensure accurate and concise information flow and timely delivery of information to all stakeholders including the production team and the customer
  • Continuously monitor production as well as changes to the customer's short and midterm demand forecasts and continuously adapts the operations plan
  • Monitor and ensure compliance to planning procedures throughout the operations team
  • Liaise with Engineering Team to ensure Preventative Maintenance plans are incorporated into the production plan
Resource and Materials Planning

  • In collaboration with the Production Manager, reviews resource allocation including vacation plans, absenteeism
  • Ensure all materials are available on a timely manner to execute the production plans
Communication

  • Regularly engage with the cross functional team (Manufacturing, Engineering, Quality,) to ensure the whole facility supports and works towards achieving exceptional service levels to the customer
  • Responsible for the development of 'fit for purpose' planning procedures, processes & policies working with senior leadership, encouraging best practice and a culture of continuous improvement across all planning & materials management processes.
Warehouse and Storage

  • Safeguards raw material, regrind, and finished goods storage operations and contents by establishing and monitoring procedures and protocols
  • Maintains physical condition of warehouse by planning and implementing new design layouts
  • Provides logístical guidance for efficient flow of all materials following food safety procedures and protocols
  • Controls inventory levels by conducting physical counts of material, finished goods and spare parts and reconciling with data storage systems
  • Actively participates in month end reconciliations
Stock Control

  • Works with Engineering Team to ensure formal stock control procedures and stock levels are maintained
  • Deals with internal and external enquiries regarding orders and purchases
  • Prepares, maintains, and operates manual stock records

SAP

  • Performs procurement and ordering of stock and nonstock maintenance parts
  • Prepares purchase orders for vendors
  • Creates, maintains, and develops stock control systems
  • Administers MRP and procedures
  • Continual maintenance of the physical consumables and parts and their corresponding records in
    SAP, ensuring the records accurately reflect the levels of stock in the storeroom at all times
Who we are looking for

Background and Experience

  • 2+ years of experience
  • Experience of working in an ever changing, fast paced environment.
  • Manufacturing /FMCG advantageous
Technical Skills

  • Good in working with data and handling and effectively processing multiple inputs and information flows
  • Excellent computer skills and experience in any ERP system (preferably
    SAP)
  • Knowledge of Microsoft Office, specifically proficient in Excel
  • Must be analytical and good with numbers
  • Confident in using multiple systems/channels
Interpersonal Skills

  • Comfortable working under stress and successfully handling conflicting situations between customer demands and constraints that can appear in a production environment
  • Excellent organisational skills, a handson approach, and capabilities to execute multiple tasks at the same time are a MUST
  • Leadership experience and skills
  • Attention to detail
  • Ability to find solutions and problem solve
  • Build strong relationships with the team
  • Flexibility and reliability are essential for this position.
  • Confident communicator at all levels
