Description
The Bookkeeper helps to keep the museum's finances up to date, working closely with the Director.

The museum uses Xero accounting software and the post-holder will use Xero every day to keep track of income and expenditure.

You will also help with generaladministration and customer/shop databases.

We are looking for someone who is highly organised with high standards of accuracy and attention to detail. You will need to be good at working to agreed processes and carrying them out consistently.

You will be comfortable with computer databases (experienceof Xero would be beneficial) and will have good people skills as you'll work across the organisation to get the information you need.


  • Main duties:
a) Enter bills onto our accounting software. Prepare a weekly payment schedule.

b) Prepare and issue invoices. Follow up to ensure timely payment.

c) Issue credit card statements to staff and ensure that receipts are received

d) Reconcile bank transactions

e) Post journal entries to allocate funding to projects

f) Use Xero to create and issue reports

g) Collate monthly timesheets to go to our payroll provider

h) Submit quarterly VAT returns and Gift Aid claims

i) Support in the annual audit and production of annual accounts

j) Pay cash into the bank

k) Keep the fixed asset register up-to-date

l) Undertake general admin duties

m) Help to keep our Vennersys CRM and EPOS databases up to date

n) Maintain HR records, including sickness and holiday recording

o) Play an active role in the general activities at the museum, including events

p) Respond responsibly in the event of an emergency or incident, taking charge as the most senior member of staff where appropriate
