Job summary:
This is a fast-paced, demanding and influential Diary Manager/Assistant Private Secretary role supporting senior officials in the Department for Levelling Up, Housing and Communities, including the 2nd Permanent Secretary for the Union, Elections and Places, as well as Directors and Deputy Directors across the Union and Elections portfolio.
The post holder will be directly involved in some of the most important and controversial issues facing the Government as well as gaining first class experience of negotiating the centre of Government and working with multiple senior civil servants.
As well as providing unparalleled exposure to senior officials, meetings and decision making processes, this role provides opportunities to undertake formal training and to take on stretching projects.
You may sometimes be asked to work over your contracted hours, if applicable you may be eligible for a private office allowance.
Job description:
This role will work for one or two senior officials and sit within their Private Office or team
The main responsibilities are:
- Providing diary management for a senior official, managing and prioritising multiple demands on their time, including engaging with high profile external stakeholders;
- Coordinating and setting up meetings, events and visits
- Logistical assistance, including planning and booking travel;
- Handling and managing the flow of correspondence, and ensuring that briefings and papers are printed for upcoming meetings;
- Contributing to the effective running of the Private Office and wider team.
Person specification:
We are looking for someone who:
- Is an enthusiastic and organised team player
- Can demonstrate high levels of judgement, initiative and flexibility
- Can provide firstclass administrative and diary management
- Has excellent organisational skills, time management and good judgement.
- Has the ability to work quickly and under pressure while remaining calm
- Is able to manage varied priorities with a focus on the big picture. Good communication skills are key to the roles.
