Description

The post holder will provide administrative support to the organisation's CEO and Senior Management Team and will be required to maintain the highest levels of confidentiality due to the nature of the information they will encounter in the role.


MAIN DUTIES:


  • Provide a welcoming and responsive first point of contact for telephone callers and visitors, directing callers to relevant staff members.
  • Provide admin support for the organisation's HR function, supporting the senior management team to fulfil their HR duties by, and not limited to:
Ø Drafting employment offer letters and contracts using templates.

Ø Scanning and filing HR documents including induction records and supervision records.

Ø Preparing recruitment and induction packs

  • Oversee the HR software, ensuring new team members are able to access and use the system.
  • Provide support for the organisation's training function including booking courses and travel, updating training records and printing certificates for participants.
  • Provide admin and practical support for internal and external events.
  • Prepare documents for meetings
  • Schedule meetings and appointments
  • Take notes and minutes in meetings
  • Order and taking stock of office supplies
  • Maintain electronic and manual filing systems
  • Sharepoint
  • Maintain Personnel online system
  • Evalu
  • Find ways to improve administrative processes
  • Work in a manner which ensures cultural sensitivity, addresses discrimination and other barriers to accessing the service.
  • Identify safeguarding concerns and report any concerns immediately to the CEO.
  • Maintain strict organisational confidentiality, professional boundaries and security procedures.

GENERAL:


  • Identify own training and development needs and participate in all training courses relevant to the Changing Pathway's commitment to providing high quality services.
  • Work at all times with due regard to the policies and procedures of Changing Pathways, including financial regulations, participating in their development and amendment where required.
  • Willingness to work outside normal working hours on occasion, including evenings and weekends and to participate in promotional, fundraising and income generating events, activities and any other duties as may be reasonably required by the organisation.

OTHER:


  • Must be mobile to visit sites and work across the whole contract area as required.
  • Post is open to women only under the Equality Act 2010, schedule 9, part 1.
