Description

Job purpose

  • To support the Office Manager across all business support functions, ensuring the smooth and efficient running of multiple offices within the company.

Qualifications and required skills

  • Minimum good secondary school education
  • Proven communication skills (both written and verbal)
  • Strong IT skills and use of Microsoft Office
  • Attention to detail and a high degree of accuracy

Accountability, roles and responsibilities

  • Report to Office Manager for execution of work
  • Perform day to day duties to the best of their ability, in compliance with Apollo's HSEQ processes and procedures

Duties


Cross functional support in the execution of daily office administrative and business support tasks in a fast paced and dynamic environment.

Specific duties will include but not be limited to:


  • General Office support
  • Provision of reception duties: answering and redirecting calls, meet and greet clients/visitors, mail, deliveries etc
  • Arrange business travel, accommodation, meeting and event requirements
  • Ordering office supplies, ensuring they are always adequately equipped
  • Format business documentation
  • Responsible for ensuring office is always clean and tidy
  • Responsible for ensuring stationery and canteen supplies are available at all times

Facilities

  • Support facility management

Environment, Social and Governance

  • Support of community engagement and the coordination office events, meetings, and conferences.

HR

  • Support Apollo's recruitment and Onboarding processes
  • Provide resource support to the project coordination team as personal commitments allow
  • Support the preparation of contractor employment documentation
  • Booking and maintaining training/offshore certification and travel records
  • Arrange training courses, certification refreshers

QHSE

  • Support office HSE requirements (security, fire, first aid, PPE)

Financial

  • Assist with debtor control, expediting timesheets and invoice raising and issue
  • Support creditor control
  • Project coordination support
  • Provide resource support to the project coordination team as personal commitments allow
  • Any other duties reasonably required by management.

Salary:
£24,988.00-£26,324.00 per year
