Adecco are currently recruiting for anExecutive Assistant to join a prestigious university based in Uxbridge.
Salary:
£17 - £21 per hour
Duration:
ASAP - 3 months (high potential of being extended)
Working pattern:
hybrid working (3 days 3 days on campus and 2 at home)

Roles and responsibilities
Executive Administrative support
- Be the principal point of contact for VP and Dean / DCO, providing a professional interface between them and key internal and external contacts; dealing promptly and appropriately with all matters that are referred to them and using sound judgement and initiative when responding
- Ensure proactive and sensitive diary management; arranging internal and external meetings involving a wide range of stakeholders, ensuring optimal availability of the VP and Dean / DCO
- Research and collate information, using a variety of resources, to support the work of the VP and Dean / DCO
- Manage projects delegated by the VP and Dean / DCO, ensuring completion in an efficient and timely manner
- Manage HR and Finance related tasks, ensuring accurate data to systems and liaison with Central Directorates as appropriate. Utilise appropriate IT systems, including E-Recruiter, CHIME (HR and Finance systems) and Sharepoint
- Provide College level organisational support for high profile events such as away days, VIP visits and Graduation.
Committee, formal meeting and working group support
- Provide effective support at College meetings and committees including preparation of agendas, minutes, and other papers as necessary; ensure committee papers are made available to members in advance of the meeting; maintaining Sharepoint sites for designated College committees
- Ensure the VP and Dean / DCO have access to the necessary briefings, papers, and information in advance of any meetings; coordinate and book travel arrangements and prepare full itineraries as required
- Coordinate arrangements for academic promotions, progression and probation panels, scheduling the meetings of the College panel, ensuring attendees have access to secure documentation via SharePoint. Take notes of meetings and prepare summary of outcomes for VP and Dean, ensuring sensitivity and confidentiality of outcomes
Communication:
- Act as a key communication link between the VP and Dean / DCO, Deputy Dean / Vice and Associate Deans and senior colleagues within the College, the wider University and key contacts outside of the University
- Work with the other College EAs / PAs to ensure that cover arrangements are in place to support the College Executive in the case of absences and peak periods, achieving a commitment to the highest level of customer service at all times.
