Medical Secretary**
Work hours: 2 days per week = 16 hours. Ideally Monday and Friday with a 30 minute unpaid lunch break.

Unit 13, Interface Business Park, Royal Wootton Bassett, SN4 8SY


Salary:
£15.00-£15.75 per hour during probation dependant upon experience.

Up to £15.75ph on successful completion of probation dependant upon experience.

Additional hours may be required to support periods of annual leave.

LLP **- a Partnership of two Consultant Plastic Surgeons and one Consultant Dermatologist.


We have an exciting position for an experienced Medical Secretary to join us in our new practice in Royal Wootton Bassett.

This is a new CQC registered Day Surgery Unit and Clinic Facility providing a wide range of day case skin cancer surgeries, outpatient dermatology procedures and other skin care treatments, encompassing Private, Insured & NHS funded patients.


This role has been created to support our service expansion and will work alongside our current team of two part time Surgical Medical Secretaries in a bright and airy open plan office with top of the range workstations including multi-screens and no routine inbound phone calls.


We are looking for someone with experience ideally in dermatology/surgical secretarial duties, including typing dictated post-operative letters, sharing discharge summaries, highlighting any follow up appointments required to our Booking Team, managing histopathology and supporting our theatre operative teams.

Main Duties and Responsibilities


The role of our Surgical Medical Secretary is to provide comprehensive surgical secretarial and administrative support to the Consultant Plastic Surgeons Speciality Doctors and Consultant Dermatologists.

The role comprises a wide range of specific duties and requires skills in information technology, medical audio-typing (currently using Digidictate), communication and organisation, as well as a sound knowledge and understanding of dermatological medical terminology.

The below list is not exhaustive but is indicative of the role requirements:


  • Providing the essential link between clinicians and patients to ensure they are treated promptly and any follow up actions are processed/managed efficiently.
  • Typing of clinic, postoperative and histopathology result letters, discharge summaries and admin letters from tapes or dictation or written copy as required with high level of accuracy.
  • Arranging clinician participation in MDT meetings and ensuring all information required is provided in advance.
  • Processing and sending of documentation as per practice policies and procedures.
  • Medical experience and understanding of relevant terminology, ideally with experience in dermatology/skin cancer surgeries.
  • Ensure that laboratory results and other records are filed and acted upon accurately.
  • To deal sympathetically and confidentially, via telephone enquiries or face to face, with patients, GPs, medical staff, nursing staff and hospital departments etc. Please note, this role does not include the active answering on inbound phone calls that are managed by our Booking Team and Surgical Co-Ordinators.
  • Liaise with our NHS contract leads and support with our required reporting processes.
  • To be flexible and help provide cover and support for other team members as the service develops.
  • Work closely with the Practice Manager to provide an accurate, efficient service, operating within established Cotswold Surgical Partners policies and procedures.
  • To act at all times in a professional manner, maintaining the highest standards of customer service and colleague support at all times.
  • As the role includes a degree of role share, effective hand over is required and clear communication with colleagues.
