Job Role:
Band 3 Administrative Assistant
MPA are working alongside their large public sector client in the Belfast area to recruit for a Band 3 Administrative Assistant for a health and wellbeing centre.
The post holder will be responsible for a wide range of administrative tasks to support and assist in the effective and efficient provision of services within the department.
Location - Lisburn Road, Belfast
Hours of Work
- Monday to Friday
Salary - £11.11
Contract - Ongoing
What the role entails:
The post holder will be required to carry out a range of duties which may include all or some of the following:
- Make full use of the IT systems available to produce work of a consistently high standard.
- Be proficient with the use of access and word packages.
- Perform data entry using the PARIS computer system (client records).
- Receive telephone calls, deal with enquiries and coordinate information in an efficient, courteous, and friendly manner.
- Ensure quality standards are adhered to in all aspects of employment.
- Typing and circulation of correspondence, to include letters, invitations, minutes, untoward incidents, etc.
- Note taking/record of discussion at meetings.
- Filing of all letters, memos, etc. on a daily basis.
- Efficient organisation and maintenance of record and information systems ensuring backup systems are utilised.
- Preparation and collation of statistical information regarding families with social work involvement when required.
- Recording of incoming/outgoing mail and ensure mail is distributed and redirected appropriately to relevant staff in a timely manner.
- Provide cover for other Team Administrative Assistants to cope with workload variation.
- Ensure all work is processed in a timely manner in accordance with agreed performance standards.
- Any other duties
Essential Criteria:
- a) 4 GCSE's Grades A-C to include
Qualification) plus 1 year's
administrative.
OR
b) NVQ Level 2 in Administration (or
equivalent qualification) plus 1
year's administrative
OR
c) 2 year's administrative.
- Experience of note taking/minute taking duties.
OR
b) 12 months typing experience to include typing of reports, formatting and circulation of correspondence, use of Microsoft packages (Word, Excel, etc.) and general word processing.
AND
- Ability to work as part of a team.
- Ability to use own initiative.
- Excellent organisational skills with an ability to prioritise own workload.
- Effective communications skills to meet the needs of the post in full.
- The ability to work in a challenging and changing environment.
- The ability to ensure accuracy in own work.
- The ability to effectively use office admin systems such as diary management and filing systems.
Salary:
£11.11 per hour
Schedule:
- Monday to Friday
Ability to commute/relocate:
- Belfast: reliably commute or plan to relocate before starting work (preferred)
Education:
- GCSE or equivalent (preferred)
Experience:
- Customer service: 1 year (preferred)
- Administrative experience: 1 year (preferred)
Licence/Certification:
- Driving Licence (preferred)
